Manage the commercial production of assigned projects from handoff through completed shipment. Develop, coordinate, and maintain production schedules, timelines, and critical-path plans across multiple concurrent orders. Coordinate internal departments and third-party partners to execute production deliverables on time. Monitor raw material and component sourcing, production milestones, quality testing, and final production to ensure successful completion. Confirm production readiness with manufacturing, operations, and quality teams prior to each run. Maintain order status trackers and communicate production updates, milestones, and delivery timelines to clients and internal stakeholders. Prepare documentation such as status summaries, meeting notes, and production/specification records. Help ensure compliance with client specifications, regulatory requirements, and internal SOPs.
Material Supply & Delivery Management:
Oversee raw material and component procurement status; proactively identify and mitigate supply and delivery risks. Partner with procurement and planning teams to align material availability with production schedules. Manage outbound shipment readiness, order fulfillment, and delivery timelines in coordination with the warehouse and logistics teams. Track open orders and reorder forecasts to support planning and continuity of supply.
Quality Approval & Compliance:
Manage the batch/quality approval process and shipment procedures, ensuring products ship only after required approvals. Coordinate with quality teams on certificates of analysis, testing results, and finished-goods release communicated to the client. Support audits and ensure adherence to quality, regulatory, and client standards relevant to production deliverables. Implement production-related process controls and documentation protocols.
Stakeholder & Client Management:
Serve as the primary point of contact for clients on production, material, quality, and delivery matters. Ensure clear communication, documentation, and expectation-setting throughout the production lifecycle. Provide regular updates and status reports to stakeholders and leadership. Support material preparation and on-site hosting for client visits, meetings, and audits.
Risk & Issue Management:
Identify, evaluate, and address production, quality, and delivery risks; develop mitigation strategies. Coordinate prompt cross-functional resolution of production issues and keep clients and teams informed of progress through closure. Escalate as needed to maintain production continuity, and capture recurring issues as lessons learned.
Team Collaboration:
Align cross-functional teams (production, quality, procurement, planning, logistics) to project goals. Clearly coordinate tasks and responsibilities; facilitate collaboration and accountability. Participate in project meetings and post-mortems to promote learning and continuous improvement. ■
Qualifications :
Bachelor's degree in Project Management, Supply Chain, Engineering, Business Administration, or a related field is a plus. PMP (Project Management Professional) certification or equivalent is a plus. Minimum 3 years of project management, CSR, production management, or supply chain experience preferred (preferably within the cosmetics, personal care, or related CPG industries). Demonstrated success managing complex, multi-stakeholder production or supply projects. Familiarity with manufacturing environments, quality systems (GMP), and cross-departmental collaboration. Proficient in project management and productivity software (e.g., Microsoft Office, Teams, Asana, Smartsheet, etc.); ERP experience a plus. Excellent organizational and multitasking abilities. Strong interpersonal and written/verbal communication skills in English. Skilled in time management, negotiation, and problem-solving. Ability to quickly and amicably respond to changing client needs and conditions. Resilient and able to thrive in a fast-paced environment with strong multitasking abilities. Comfortable working under pressure and in dynamic environments. Interest in the beauty industry is highly desirable. Occasional travel required (e.g., supplier visits, client meetings, internal meetings, etc). ■
