Job Description

We are seeking a reliable, proactive, and self-directed Office Manager to oversee day-to-day administrative and leasing operations across our growing portfolio of commercial and residential properties . This role serves as the primary operational backbone of the company—acting as the main point of contact for tenants, contractors, and prospective renters. The ideal candidate combines strong organizational habits and computer proficiency (especially Microsoft Excel ) with confident communication skills. Because this position involves managing late rent notices, property rule enforcement, and vendor accountability, comfort with direct, constructive confrontation and conflict resolution is essential. Key Responsibilities 1. Tenant Relations & Point of Contact Act as the daily front line and primary liaison for all tenant inquiries, requests, and concerns via phone, text, and email. Receive, dispatch, and monitor maintenance and repair requests, coordinating with contractors to ensure timely completion. Address tenant disputes and lease violations assertively and calmly. Deliver notices (e.g., late notices, inspection notices, rule compliance) and follow up on delinquent accounts. 2. Advertising, Showings & Leasing Create and update compelling listings for vacant residential units and commercial spaces across digital rental platforms (Zillow, CoStar/LoopNet, Facebook Marketplace, Craigslist, etc.). Field prospective tenant leads, pre-screen candidates against rental criteria, and schedule viewing appointments. Conduct in-person property tours and walkthroughs for potential tenants, answering questions on lease terms and property amenities. Collect and review rental applications, execute background/credit screenings, assist with lease execution, and handle move-in/move-out inspections. 3. Administrative & Financial Organization Maintain comprehensive, up-to-date tenant and property records (leases, certificates of insurance, vendor agreements). Utilize Microsoft Excel / Google Sheets to maintain rent tracking logs, occupancy sheets, turnover expenses, and maintenance status reports. Prepare clear correspondence, notices, memos, and executive summaries for ownership. Keep digital office files orderly, consistent, and secure.
What We Are Looking For Computer & Excel Proficiency:
Must be comfortable navigating computers, file management, email systems, and creating/updating spreadsheets in Microsoft Excel.
Poise Under Pressure & Conflict Management:
Comfort having difficult conversations regarding lease violations, noise complaints, or past-due rent without becoming intimidated or overly emotional.
Strong Interpersonal Skills:
Outgoing and persuasive when showing units to prospective tenants; professional and firm when dealing with day-to-day tenant matters.
Self-Motivated & Dependable:
Ability to manage one's own daily checklist and prioritize tasks with minimal oversight.
Mobility:
Valid driver's license and reliable personal transportation to travel between properties for showings, vendor check-ins, and unit inspections.
Previous Experience:
Prior experience in property management, leasing, real estate, administrative support, or hospitality operations is a strong plus.
Schedule & Hours Flexible Work Structure:
Open to either Part-Time (approx. 15-25 hours/week) or Full-Time (35-40 hours/week) depending on the candidate's availability and operational fit. Hours can be arranged around scheduled showings, tenant turn schedules, and office administrative blocks.
Pay:
$10.00 - $20.00 per hour Expected hours: 15.0 - 40.0 per week
