Commercial Property Management Coordinator Pietromonaco Jackson Properties Mercer Island, WA Job Details Part-time $30 - $35 an hour 20 hours ago Benefits Mileage reimbursement Qualifications Microsoft Excel Filing Administrative experience Organizational skills Office experience Full Job Description We are looking for a Commercial Property Management Coordinator to support a portfolio of 38 commercial properties including office, industrial, retail and medical facilities, totaling approximately 2,750,000 square feet across the Puget Sound. This is a part-time position that will be 15 hours per week on Tuesday, Wednesday and Thursday, with a generally consistent weekly schedule. This person will be a conduit between tenants and Landlord, assisting the entire PJP team to run more efficiently and effectively. The position partners closely with the property management and accounting teams while carrying independent ownership of its core areas. It is well suited to a detail-driven professional who takes genuine satisfaction in well-maintained systems and wants substantive responsibility within a consistent three-day-per-week commitment.
Tenant and vendor relations:
Serve as the first point of contact for tenants and vendors by phone, email, and mail Manage the inbound queries from tenants through our property management system Resolve routine inquiries directly and route more complex matters to the appropriate team member Draft and distribute tenant notices and communications Support tenant move-in and move-out coordination, including welcome packets, access credentials, and directory updates Tenant and vendor accounts: Help in the processing of monthly rent payments and prepare tenant statements Monitor accounts for outstanding balances and follow up on delinquencies Document all payment communications and collection activities Partner with accounting to research and resolve account discrepancies Code and route vendor invoices for approval, and track payment status through resolution Collect and maintain vendor documentation, including W-9s, service agreements, and licensing records Records and lease administration: Maintain tenant contact directories, emergency call lists, and building directory boards Keep tenant and property information current in the tenant portal and property management system Scan, file, and organize property documents across physical and electronic systems Insurance compliance: Collect Certificates of Insurance from tenants and vendors and review them against our requirements Track expiration dates and secure updated certificates before coverage lapses Follow up on missing, expired, or non-compliant documentation until it's resolved Team support: Provide administrative support to the property management team Receive, log, and dispatch tenant maintenance requests, and track work orders through completion and tenant confirmation Assist with monthly reporting, meeting coordination, expense reports, and office supply management Contribute to property management projects and special assignments as they arise Handle tenant, vendor, and financial information with discretion Occasional on-site visits
What You Bring:
Strong organizational skills and genuine attention to detail Clear, professional written and verbal communication Comfort working with financial information, including rent payments and tenant statements Experience in commercial property management, real estate, accounting, or office administration Ability to prioritize independently and manage competing deadlines within a part-time schedule Proficiency with Microsoft Outlook, Word, and Excel Familiarity with property management or accounting software and tenant portals Working knowledge of commercial lease and property management terminology We recognize that strong candidates come from a range of backgrounds.
