Job Description

The City Clerk Intern will assist with a wide range of projects related to the day-to-day operations of the City Clerk's Office. This internship is designed to be both educational and practical. The intern will obtain firsthand knowledge and professional experience by performing a variety of administrative duties in support of Department and City goals. Perform administrative tasks, including but not limited to, filing, computer data entry, internet research, answering and/or placing phone calls, preparing and/or responding to email communications and providing administrative support to the public and City team members. Assist with the Public Records Request and Lien Verification Request programs, including but not limited to, saving and organizing request documentation, entering requests in the enterprise software system, routing requests to the appropriate departments, verifying property and applicant information, creating and sending invoices and initiating applicable workflows. Support the City's records management program in accordance with Florida law, including but not limited to, records conversion projects, verifying converted records for accuracy and completeness, organizing electronic records, entering metadata in Laserfiche, and assisting with records retention and disposition projects. Assist with Code Enforcement Board case processing in accordance with Florida law, including but not limited to, preparing case files, scanning and organizing case documents, processing returned mail, preparing and mailing documents, tracking certified mail delivery, preparing property postings, entering information in the enterprise software system, attending at least one Code Enforcement Board meeting, and preparing a draft set of minutes for the meeting attended. Assist with the preparation of City Commission meeting materials and post-meeting activities, including but not limited to preparing agenda packets, PowerPoint presentations, and note sheets, returning signed documents, preparing correspondence, organizing meeting records, attending at least one City Commission meeting, and preparing a draft set of minutes for the meeting attended. Perform other related duties and assist with special projects as assigned in support of Department operations and team needs. Become familiar with the City's policies, procedures, Standard Operating Procedures, and Department Operating Instructions, and assist with related updates or revisions when needed.
REQUIRED MINIMUM QUALIFICATIONS
High school diploma or GED. Current enrollment in a graduate or undergraduate degree program with an interest in Public Administration, Business Administration, or a related field. One (1) year experience using Microsoft Office applications. Ability to speak, read and write fluently in English. Applicants will be required to complete a Disclosure & Authorization Regarding Background Investigation, a Confidentiality Agreement and a criminal background screening.
