This role is responsible for purchasing equipment and materials, managing vendor relationships, maintaining inventory systems, supporting job costing, and keeping the company pricebook accurate. The right person will understand that purchasing is not just about ordering materials — it is about protecting gross margin, eliminating waste, and making sure jobs are ready to run efficiently. Position Summary The Purchaser / Inventory Manager will be responsible for buyouts, equipment ordering, material purchasing, inventory control, job costing support, pricebook maintenance, and vendor coordination. This position plays a key role in making sure installation and service teams have the correct materials at the correct time while keeping costs aligned with company margin targets. Key ResponsibilitiesPurchasing and Buyouts Purchase equipment, materials, parts, and supplies for HVAC, plumbing, electrical, and other company divisions. Complete job buyouts accurately after jobs are sold. Review proposals, scopes of work, and sold estimates to ensure all required materials and equipment are ordered. Verify equipment model numbers, accessories, warranties, and compatibility before purchasing. Coordinate with install managers, service managers, comfort advisors, and field technicians to confirm job needs. Track vendor pricing and identify cost-saving opportunities. Prevent unnecessary material purchases, duplicate orders, and overbuying. Equipment and Material Margin Management Monitor equipment and material costs against sold job pricing. Help protect gross margin by identifying cost overruns before they become profit leaks. Review job material budgets and compare estimated costs to actual costs. Flag jobs where equipment, material, or subcontractor costs are trending too high. Work with management to improve pricing accuracy and purchasing discipline. Negotiate with vendors when possible to improve pricing and terms. Job Costing Support Assist with job costing after project completion. Compare purchase orders, invoices, and receipts against the original sold estimate. Identify missing costs, incorrect job allocations, duplicate charges, and unassigned materials. Help determine whether jobs hit expected margin targets. Report cost issues, margin erosion, and purchasing errors to management. Support process improvements to reduce job cost leakage. Pricebook Maintenance Maintain accurate pricing in the company pricebook. Update equipment, material, labor, and accessory costs as vendor prices change. Ensure pricebook items include accurate descriptions, costs, categories, and markups. Work with leadership to keep install and service pricing aligned with margin goals. Remove outdated items and add new products as needed. Help ensure sales and field teams are pricing work from current and accurate information. Inventory Management Manage warehouse, truck stock, and commonly used inventory items. Track inventory levels and reorder points. Maintain accurate inventory counts and resolve discrepancies. Reduce dead stock, excess inventory, and missing material. Organize inventory in a way that makes it easy for field teams to find what they need. Help create systems for inventory control, check-in/check-out, and accountability. Perform regular cycle counts and inventory audits. Inventory Solutions and Process Improvement Develop and improve inventory systems to reduce waste and increase efficiency. Recommend software, process, or workflow improvements for inventory management. Help standardize commonly used materials for recurring job types. Build purchasing templates and material lists for common installations. Improve communication between sales, install, service, and purchasing. Create better tracking for parts, returns, credits, warranties, and unused materials. Vendor and Supplier Management Communicate with vendors, suppliers, and manufacturers. Request quotes, verify lead times, and confirm product availability. Track backorders and communicate delays to the appropriate team members. Manage supplier credits, returns, warranty parts, and damaged material claims. Build strong vendor relationships while holding suppliers accountable. Compare vendor options to ensure the company is receiving competitive pricing. Qualifications Experience in purchasing, inventory management, warehouse management, construction operations, HVAC, plumbing, electrical, or a related trade preferred. Strong attention to detail and accuracy. Ability to read and understand scopes of work, job estimates, invoices, and purchase orders. Strong organizational and follow-up skills. Comfortable working with spreadsheets, vendor portals, inventory systems, and business software. Ability to communicate clearly with office staff, managers, vendors, and field technicians. Strong understanding of cost control, job costing, and gross margin protection. Ability to work in a fast-paced environment and manage multiple priorities.
