Primary Purpose:
Assists in the ordering of furniture, equipment and supplies to schools/departments; obtain verbal/informal cost quotations from vendors; prepares formal bid requests from specifications; enters bid data into computerized system; prepare Board documentation as necessary. Minimum Qualifications (Experience/Education/Certification): High School diploma or GED. Three years of related experience.
Major Responsibilities:
1. Ensure district procurement options meet all legal requirements and board policies. 2. Assist with writing, editing, and evaluating bid documents. 3. Administer electronic purchase order system. 4. Assist in preparing purchase orders and maintaining accounts of items. 5. Maintain the vendor database for all bids on the computer system. 6. Prepare bid invitations, solicit and analyze quotations; key bid information into computer, proof and edit bids and arrange for mailing to vendors; arrange for printing and advertising of bids; enter bid data into computerized system and produce bid tabulation; record awards and produce summary lists. 7. Maintain interface with vendors to ensure the procurement of high-quality merchandise, expedient delivery, and dependable service at an optimum price, referring problems involving deliveries or invoices to the Director of Purchasing for resolution. 8. Answer telephones and provide assistance and information regarding the status of purchase orders and related purchasing activities; communicate with vendors and salespeople to research and exchange information or explain District procedures and policies. 9. Review and approve requisitions for all campuses, administration, maintenance and operations. 10. Update Approved Vendor List, website and FOCUS to reflect board awarded bids. 11. Monitor vendor performance. 12. Manage the district vehicle registration process. 13. Assist in the purchase of district-wide furniture and appliances as needed due to changes in enrollment, movement of programs, etc. 14. Assist with district-wide moves and surplus. 15. Assist with management of Cooperative contracts. 16. Follow Educator Code of Conduct & all policies, procedures, laws and State/Federal regulations. 17. Perform other duties as assigned.
Special Knowledge/Skills:
 Knowledge of acceptable purchasing laws, rules and regulations.  Knowledge of district purchasing practices and procedures.  Knowledge of budgeting and bidding principles and practices.  Knowledge of federal, state and district laws, policies, and procedures.  Skill in working with numbers in an accurate and rapid manner.  Skill in developing spreadsheets, databases, and word processing.  Skill in communicating effectively with others.  Skill in working in collaborative team-based environments.
Supervisory Responsibilities:
None. Working Conditions (Mental Demands/Physical Demands/Environmental Demands): Prolonged use of computer; repetitive hand motions; must be able to push, pull, lift, and/or carry at least 30 lbs.
