Center for Wellness & Integrative Medicine | Soquel, CA Part-time, onsite | $25

•32/hour to start, depending on experience and capability About us Center for Wellness & Integrative Medicine is a cash-pay integrative and regenerative medicine clinic led by Dr. Tom Yarema. We work with patients seeking highly personalized care across regenerative medicine, integrative medicine, wellness, diagnostics, and long-term health optimization. Our approach is high-touch and relationship-driven. We want every patient to feel genuinely cared for, understood, and well supported throughout their experience with us. About the role We are looking for a highly capable Medical Assistant & Clinic Operations Coordinator who can combine excellent patient care with strong administrative and operational skills. This is not simply a front desk position. You will help keep the clinic running smoothly, support Dr. Yarema during patient care, coordinate patient flow, maintain accurate records, manage scheduling and payments, and ensure that patients receive a responsive, organized, high-quality experience. The right person is warm and compassionate with patients, but also organized, technically capable, proactive, and comfortable taking ownership. Over time, there is potential for this person to take on broader clinic operations and leadership responsibilities. What you will do Welcome patients and provide a warm, professional clinic experience Support Dr. Yarema with patient visits, treatments and clinical workflows Room patients, obtain vitals and assist with appropriate medical-assistant duties Manage scheduling, confirmations, intake forms and follow-up Maintain accurate patient records and documentation Coordinate medical records, imaging, lab results and other information needed before visits Process payments and maintain accurate financial information Answer phones, patient messages and inquiries professionally and promptly Help patients understand next steps, forms, scheduling and clinic processes Maintain strong communication between patients, Dr. Yarema and the rest of the team Identify problems before they become bottlenecks and take initiative to resolve them Help maintain clinic supplies, treatment rooms and operational readiness Follow established checklists, protocols and confidentiality requirements Support improvements to clinic systems and patient experience What we are looking for

Required:

Prior healthcare, medical office, medical assistant or comparable patient-facing experience Excellent interpersonal and patient-service skills Strong computer skills and ability to learn new systems quickly Comfortable working with Google Workspace and electronic patient/CRM systems Accurate with scheduling, documentation, payments and patient information Highly organized and detail oriented Able to work independently and take initiative Comfortable switching between patient care, administration and problem solving Clear verbal and written communication Reliable, accountable and professional Comfortable working in a small, entrepreneurial medical practice Strongly preferred: Medical Assistant certification or meaningful clinical support experience Experience in integrative medicine, functional medicine, regenerative medicine, chiropractic, physical medicine, acupuncture, wellness or cash-pay healthcare Experience assisting with procedures, blood draws, injections, IVs or other clinical tasks Experience with GoHighLevel or similar CRM systems Previous clinic-management or supervisory responsibility Experience in concierge, elective or high-touch healthcare The person we are looking for You are someone who is both kind and highly competent. You naturally notice when something needs attention and take care of it. You are comfortable helping a nervous patient one moment and solving an operational problem the next. You do not need to be micromanaged, but you communicate clearly, ask good questions and take feedback well. Schedule Part-time onsite in Soquel, California Monday through Friday Approximately 8:30am-5:00pm coverage depending on clinic needs Schedule and hours may expand for the right person Compensation $25

•32/hour to start, depending on relevant experience and capability. There is opportunity for increased compensation and expanded responsibility based on performance, clinical capability, operational ownership and contribution to the growth of the clinic.
