Full Job Description Operations Department Reports To:
Director of Operations Position Summary The Operations Assistant provides high-level administrative and operational support to the Director of Operations and serves as a key contributor to the successful execution of NJB's leagues, tournaments, programs, and organizational initiatives. This position requires an individual who is highly organized, proactive, and capable of managing multiple priorities with minimal supervision. The Operations Assistant serves as an extension of the Director of Operations by coordinating projects, preparing operational and financial reports, maintaining organizational systems, and ensuring the efficient execution of department priorities. The ideal candidate possesses strong analytical abilities, excellent communication skills, sound judgment, and a commitment to continuous improvement. Essential Duties & ResponsibilitiesOperational Support Serve as the primary administrative support to the Director of Operations. Coordinate department projects and ensure assigned initiatives remain on schedule. Assist in planning and executing NJB leagues, tournaments, events, and special projects. Monitor project timelines and follow up with internal staff and league directors to ensure deadlines are met. Prepare meeting agendas, presentations, reports, and supporting documentation. Maintain department calendars, project trackers, and operational documentation. Financial & Analytical Support Assist in preparing tournament and seasonal Profit & Loss (P&L) reports. Compile revenue and expense information from multiple operational systems. Reconcile financial data and investigate discrepancies. Assist in tracking department budgets and operational expenses. Utilize recurring operational dashboards and prepare performance reports. Organize data that supports operational and strategic decision-making. Administrative Coordination Maintain organized electronic records, files, and departmental documentation. Draft correspondence, policies, procedures, and internal communications. Coordinate meetings, league events, and department logistics. Assist with onboarding documentation for employees, contractors, and volunteers. Process Improvement Identify opportunities to improve administrative and operational efficiency. Assist in maintaining Standard Operating Procedures (SOPs). Recommend improvements to workflows and reporting processes. Support implementation of new systems and operational initiatives. Cross-Functional Support Coordinate with Member Support, Marketing, Finance, Programs, and Chapter Operations. Provide operational assistance to chapter directors as needed. Help ensure consistent execution of NJB policies and procedures. Escalate operational issues requiring leadership attention. QualificationsRequired Associate degree or equivalent experience preferred. Minimum of 3 years of progressively responsible administrative, operations, or project coordination experience. Advanced organizational and time management skills. Excellent written and verbal communication. Intermediate to advanced proficiency in Microsoft Excel or Google Sheets. Experience preparing reports and analyzing operational data. Ability to manage multiple priorities with minimal supervision. Preferred Experience supporting senior leadership. Experience with SportsEngine or similar registration platforms. Experience with project management. Experience in youth sports, nonprofit organizations, or event operations. Basic understanding of financial reporting and budgeting. Knowledge, Skills & Abilities The successful candidate will demonstrate the ability to: Exercise sound judgment and discretion. Pay:
$26.00 - $30.00 per hour Expected hours: 25.0 per week
