Job Summary We are seeking an experienced Air Import / Export Operations Specialist to manage the day-to-day coordination and execution of international air freight shipments. The successful candidate will have hands-on experience in either air import operations, air export operations, or both , with a strong understanding of international air freight processes. This position will be responsible for coordinating shipments, preparing and reviewing documentation, communicating with airlines, overseas offices, freight partners, customers, and warehouse teams, monitoring shipment status, and resolving operational issues to ensure the timely and accurate movement of freight. The ideal candidate is highly organized, detail-oriented, and able to work independently in a fast-paced, high-volume environment. Bilingual English/Mandarin proficiency is strongly preferred due to frequent communication with Asia-based teams and partners. Key Responsibilities Air Import / Export Operations Manage the day-to-day lifecycle of international air import and/or export shipments. Coordinate shipments from booking and documentation through airline departure, arrival, delivery, and handoff to overseas or domestic destinations, as applicable. Ensure shipments are processed accurately and within required airline, warehouse, and customer cut-off times. Shipment Booking & Coordination Coordinate airline and freight bookings based on shipment requirements, capacity, routing, schedules, and cut-off times. Communicate with airlines, freight partners, ground handlers, warehouse teams, overseas offices, and customers to coordinate shipment movement. Coordinate inbound and outbound shipments and ensure all operational requirements are completed on schedule.
Import / Export
Documentation Prepare, review, and maintain accurate shipment documentation, including Commercial Invoices, Packing Lists, Air Waybills (MAWB/HAWB), and other required import/export documents. Review documentation for accuracy and completeness and identify discrepancies before shipment movement. Assist with customs-related documentation and requirements as applicable to import or export shipments. Compliance Ensure shipments comply with applicable U.S. import/export regulations, TSA requirements, airline requirements, customs requirements, and company procedures. Follow established procedures for shipment documentation, security, screening, and regulatory compliance. Escalate compliance or documentation issues when necessary. Track & Trace Monitor shipment movement from origin through departure, arrival, and delivery or handoff. Track flight schedules, arrivals, departures, delays, exceptions, and delivery status. Proactively communicate shipment updates to internal teams, overseas partners, and customers. Exception Management Identify and resolve documentation discrepancies, booking issues, missed cut-offs, flight delays, customs issues, cargo exceptions, and other operational challenges. Coordinate with airlines, warehouses, customs brokers, overseas offices, and other service providers to resolve shipment issues promptly. Overseas Communication Communicate regularly with overseas offices and partners, primarily in Asia, regarding shipment status, documentation, routing, customs requirements, and operational issues. Maintain clear and timely communication across multiple time zones. Data Entry & System Updates Maintain accurate shipment information, documentation, and status updates within company systems and operational platforms. Ensure shipment records are complete, accurate, and updated in a timely manner. Process Improvement Identify opportunities to improve import/export processes, reduce errors and delays, and increase operational efficiency. Assist with developing and maintaining standard operating procedures and operational best practices. Customer Service Respond promptly and professionally to shipment inquiries. Provide accurate shipment status updates and assist with resolving customer concerns and operational issues. Qualifications Experience 2+ years of hands-on experience in air import operations, air export operations, air freight forwarding, international logistics, or a related field. Candidates with strong experience in either air import OR air export operations are encouraged to apply. Experience handling both import and export shipments is a plus. Air Freight Knowledge Strong understanding of air freight operations, including airline bookings, cargo cut-off times, MAWB/HAWB, shipment tracking, and international freight procedures. Knowledge of either air import or air export procedures is required; knowledge of both is preferred. Regulatory Knowledge Familiarity with applicable U.S. import/export regulations, TSA requirements, customs procedures, airline requirements, and general international air freight compliance. Language Bilingual in English and Mandarin (Chinese) is strongly preferred , with the ability to communicate effectively with overseas partners and teams. Technical Skills Proficiency in Microsoft Office, particularly Excel. Experience with TMS, WMS, freight forwarding, or transportation management systems is preferred. Communication Strong written and verbal communication skills. Ability to coordinate effectively with customers, airlines, warehouses, overseas offices, and multiple internal teams across different time zones. Attention to Detail Highly organized and detail-oriented, with the ability to manage multiple shipments, documentation requirements, and deadlines simultaneously. Problem Solving Ability to quickly identify operational issues, determine appropriate solutions, and escalate issues when necessary. Work Environment Must be comfortable working in an in-person, high-volume logistics operation.
Pay:
$25.00 - $32.00 per hour Expected hours: 40.0 per week
