Help manage incoming member messages and routine email communication. Track scheduled introductory sessions, attendance, closes, renewals, and follow-up needs. Prepare lists of members nearing the end of a training package so Lauren and Anna can assign timely outreach. Reports and operational accuracy Pull and organize daily and weekly reports on memberships, sales, account balances, unpaid visits, attendance, and visits remaining. Update scorecards and meeting materials, checking dates, totals, and records for accuracy. Flag duplicate records, unclear package balances, missing follow-up, and other exceptions for leadership review. Help prepare the weekly leadership packet and maintain action items, owners, and deadlines. Scheduling and athlete experience Assist with class reconciliation, member pre-booking, and scheduling check-ins. Help identify members with declining attendance or overdue check-ins, then document the follow-up assigned by Anna. Support coach and member onboarding by tracking scheduled steps, completed training, and outstanding paperwork or records. Facility and team support Coordinate routine supply and gear needs for approval. Help organize recruiting communications, interview schedules, and candidate records. Provide administrative support for community outreach and facility events as assigned. Lauren and Anna will set priorities and make leadership decisions; the Operations Assistant will help execute, document, and follow through on assigned work. Requirements & Qualifications Strong organization, attention to detail, and ability to manage several deadlines. Clear, professional communication by phone, email, and in person. Confidence speaking with prospects and members and documenting each conversation accurately. Comfort working with spreadsheets, scheduling tools, and business reports; experience with Mindbody is a plus.
