Job Description

Position Overview:
Eco-Friendly Cleaning Specialist, LLC is seeking a highly organized and dependable Federal Contracts & Operations Coordinator to support the day-to-day administration and operation of our federal government service contracts located throughout the United States. This is not a basic administrative assistant position . The successful candidate will help coordinate multiple contracts, employees, Project Managers, government facility requirements, security-processing requirements, quality-control inspections, staffing needs, and contract deadlines. We are looking for someone who can take ownership of assignments, follow through without constant supervision, identify potential problems before they become service issues, and keep management informed of items requiring attention.
Primary Responsibilities:
Maintain and organize federal contract files, modifications, scopes of work, task schedules, wage determinations, and related documentation. Maintain staffing rosters for multiple government facilities. Track employee onboarding, federal security/background processing, credentials, and facility-access requirements. Coordinate with Project Managers regarding employee coverage, call-outs, vacancies, and staffing changes. Help ensure every facility has adequate primary and backup coverage. Maintain calendars and trackers for daily, weekly, monthly, quarterly, semiannual, and annual contract requirements. Schedule and track required Quality Control (QC) inspections and reports. Track reported deficiencies and corrective actions through completion. Assist with professional correspondence to Contracting Officers, government representatives, facility POCs, employees, and vendors. Review employee timekeeping records and identify missing or questionable punches. Assist with payroll preparation and employee documentation. Coordinate supply requests, purchasing, shipment tracking, and delivery follow-up. Maintain documentation supporting invoicing and completed services. Assist with recruiting, applicant follow-up, interviews, onboarding, and maintaining candidate pipelines. Maintain organized electronic records so contract documentation can be quickly retrieved. Provide management with regular updates regarding staffing vacancies, security processing, QC inspections, deficiencies, deadlines, and other outstanding items.
Qualifications:
Required:
Strong organizational and follow-up skills. Ability to manage multiple locations, employees, deadlines, and priorities simultaneously. Strong written and verbal communication skills. Proficiency with Microsoft Outlook, Word, and Excel. Comfortable creating and maintaining spreadsheets, trackers, calendars, and electronic records. Ability to handle confidential employee and contract information. Strong attention to detail. Ability to work independently and take ownership of assignments. Dependable attendance and professional communication.
Preferred:
Experience with federal or government contracts. Experience in contract administration, operations coordination, facilities management, commercial janitorial services, construction administration, logistics, or another multi-location service business. Experience coordinating employee background checks, security credentials, or controlled-facility access. Experience with quality-control documentation and contract compliance. Experience supporting payroll, recruiting, or employee onboarding. Federal contracting experience is preferred but not required. We are willing to train an exceptional candidate who has strong operations and administrative experience. What We're Looking For The ideal candidate doesn't simply identify a problem and pass it along. We want someone who will investigate the issue, follow up with the appropriate people, maintain documentation, propose a solution, and make sure the matter reaches completion. You should be comfortable working in an environment where deadlines, documentation, communication, and follow-through matter. Compensation $22.00-$26.00 per hour , depending on experience and qualifications. A performance review may be conducted after the initial 90-day period , with advancement opportunities based on demonstrated ability to independently manage contract-administration and operational responsibilities.

Pay:
