Job Description

Job Overview We are seeking a proactive and highly organized Scheduling Coordinator to join our dynamic team! The Scheduling Coordinator is the face and voice of our office. They are normally the first person spoken to and the first person met as patients walk in the front door. They coordinate, integrate, and represent all facets of patient services from the first phone call through continuing care compliance. They are responsible for filling the doctor and hygiene schedules in a balanced, customer service-oriented way. They manage the daily, weekly, and monthly schedule to meet the practice's production, efficiency, and collection goals. All administrative and computer input functions that support an ideal schedule are attended to with detail and a focus on the best outcomes. The Appointment Coordinator markets the practice through a helpful, kind, and considerate approach to patient needs while using excellent verbal skills. To ensure consistency and stability, the Appointment Coordinator is also cross-trained with the Financial Coordinator so that they can assist when required. The number one responsibility of all employees is patient care and meeting patient needs. Duties Respond to inquiries and motivate people to experience what makes Exquisite Dentistry unlike most other dental clinics Manage and coordinate schedules for multiple professionals, ensuring optimal time utilization toward daily, monthly, and quarterly production goals Utilize office management software and productivity tools such as Dentrix, Google Docs, and Google Sheets to organize and update schedules accurately Answer multi-line phone systems with professionalism, providing excellent customer service Maintain detailed records of appointments, client interactions, and scheduling changes Communicate effectively with clients, team members, and external partners via phone, email, or in-person Support front desk operations by greeting visitors, managing inquiries, and providing administrative assistance as needed Checking patients out, ensuring financial responsibilities are handled in a timely manner Requirements Proven experience in administrative roles with strong organizational skills Proven ability to market a clinic and its services Proficiency in Google Workspace (Docs, Sheets, etc.) and Dentrix Excellent computer literacy including typing speed, data management Bilingual abilities are highly desirable to support diverse client needs Strong phone communication skills with professional phone etiquette across multi-line systems Previous experience in customer service or front desk roles demonstrating excellent interpersonal skills Ability to multitask efficiently while maintaining attention to detail in a fast-paced environment Knowledge of clerical procedures such as filing, calendar management, and document organization Demonstrated time management skills with the ability to prioritize tasks effectively Personal assistant or office support experience preferred but not mandatory Join us as a Scheduling Coordinator where your organizational talents will shine! Pay:
$25.00 - $30.00 per hour Expected hours: No less than 32.0 per week
