Project Scheduler

Job Description

Project Scheduler Location:
Jenison, MI Company:
Automated Machine Systems, Inc. (AMS)
Job Type:
Full-Time, 1st
Shift Schedule:
Monday-Friday About AMS Automated Machine Systems, Inc. (AMS) is a growing automation company headquartered in Jenison, Michigan. Since 1997, we have specialized in designing and manufacturing automated equipment for the pallet manufacturing, recycling, material handling, and timber processing industries. As a full-service engineering firm, OEM, and systems integrator, our projects move through multiple departments including Engineering, Purchasing, Assembly, Electrical, Programming, Shipping, and Field Installation. Position Overview AMS is seeking a highly organized, proactive Project Scheduler to develop, maintain, and drive the master schedule across all active customer projects. This is more than a traditional scheduling position . The Project Scheduler will connect individual project schedules with departmental workload, available manpower, project dependencies, and major milestones to provide one clear picture of AMS's overall project schedule. This individual will also serve as a key internal project coordinator—regularly following up with departments on committed dates, deliverables, action items, and project readiness. The ideal candidate is comfortable asking questions, challenging unrealistic dates, following up persistently, and helping hold teams accountable to their commitments. This is primarily an internal-facing position and will not be responsible for primary customer communication. Key Responsibilities Project Scheduling & Resource Planning Develop and maintain a comprehensive master schedule for all active AMS projects . Build individual project schedules and connect them into an overall company schedule. Incorporate available manpower, departmental capacity, project dependencies, and resource requirements into scheduling decisions. Coordinate schedules across Engineering, Purchasing, Assembly, Electrical, Programming, Shipping, and Field Installation. Track major milestones including engineering releases, FATs, shipment dates, installations, and project completion. Identify resource conflicts, schedule overlaps, bottlenecks, and projects at risk of falling behind. Work with Operations and department leaders to establish realistic project dates and priorities. Provide leadership with clear visibility into upcoming workload, manpower needs, schedule risks, and project status. Internal Project Coordination & Accountability Regularly follow up with department leaders and team members regarding project dates and commitments. Confirm departments are on schedule for required project deliverables. Proactively identify late or at-risk activities and understand their impact on downstream milestones. Escalate significant schedule concerns and resource conflicts to Operations leadership. Maintain project trackers, milestone schedules, issue lists, action items, and other project documentation. Coordinate internal project, FAT, installation, and lessons-learned meetings as needed. Document action items and follow up with responsible departments through completion. Project Readiness & Follow-Up Follow up with Engineering on drawings, manuals, install plans, boss points, install prints, spare-parts lists, LOTO information, and other required project deliverables. Track long-lead items and coordinate with Engineering and Purchasing regarding critical delivery dates. Follow up with Electrical regarding UL completion and other required milestones. Coordinate internal FAT readiness, documentation, punch lists, and outstanding action items. Track system readiness for shipment and coordinate internally with Assembly and Shipping. Coordinate internal installation readiness, manpower, subcontractors, equipment rentals, travel requirements, and required documentation. Track issues that arise during installation and connect field personnel with the appropriate AMS resources. Coordinate Client Support handoffs, project closeout, and lessons-learned activities. Qualifications 3+ years of experience in project scheduling, project coordination, project management, manufacturing operations, production planning, or a related role. Strong organizational, prioritization, and follow-up skills. Ability to manage multiple projects and competing deadlines simultaneously. Comfortable working across departments and holding others accountable to commitments and due dates . Ability to identify scheduling conflicts, dependencies, bottlenecks, and project risks. Strong written and verbal communication skills. Proficiency with Microsoft Excel and Microsoft Office. Experience with project scheduling, ERP/MRP, or project management software preferred. Experience with resource-loaded or manpower-based scheduling strongly preferred. Experience in custom equipment manufacturing, industrial automation, machine building, systems integration, or engineer-to-order manufacturing strongly preferred. Ideal Candidate We are looking for someone who is: Proactive
  • identifies issues before milestones are missed. Persistent
  • follows up until commitments are clear and completed. Assertive but professional
  • comfortable challenging dates or getting information needed for schedule changes. Highly organized
  • capable of managing many projects and moving pieces at once. Analytical
  • understands how manpower, dependencies, and delays affect the overall schedule. Collaborative
  • works effectively across Engineering, Purchasing, Manufacturing, Operations, and Leadership. Process-minded
  • interested in building and improving AMS's scheduling system, not simply maintaining a calendar.
Education High school diploma or equivalent required. Associate or bachelor's degree in business, Operations, Project Management, Engineering Technology, Supply Chain, or a related field preferred. Equivalent relevant experience will be considered. Why This Role Matters AMS manages multiple complex custom equipment projects simultaneously, all competing for shared resources and manpower. The Project Scheduler will provide one reliable source of truth for project schedules , improve internal accountability, identify conflicts earlier, and help keep projects moving from Engineering through FAT, shipment, and installation.
