Position Summary The Operations Support Coordinator provides administrative and transactional support to MB Division's office and operations team, with primary responsibility for supporting customer quotation activities, inventory adjustments, and business communications/documentation. This role works closely with the Purchasing Manager and other members of the office team to ensure assigned operational tasks are completed accurately, timely, and consistently. This position requires strong attention to detail, organization, follow-through, and the ability to work across multiple priorities in a fast-paced environment. Responsibilities Quoting and Customer Support Coordinate the Request for Quote (RFQ) process by gathering required information and facilitating communication with appropriate internal and external parties. Prepare customer quotes based on established pricing, specifications, and direction from the Purchasing Manager or other appropriate team members. Maintain organized records of quotes, supporting documentation, and related communications. Follow up on outstanding information needed to complete quotes and escalate questions or discrepancies as appropriate. Inventory & ERP Support Complete inventory adjustments within the company's ERP system based on approved inventory changes. Ensure inventory transactions are entered accurately and supported by appropriate documentation. Assist with researching discrepancies related to inventory adjustments and communicate issues to the Purchasing Manager. Maintain accurate records related to assigned inventory transactions. Communications & Document Management Maintain and archive incoming communications from GB through established email and document management processes. Organize correspondence and supporting documentation so information is accessible to appropriate team members. Route communications requiring action or follow-up to the appropriate individual. Maintain accurate electronic records in accordance with company procedures. General Operations Support Provide administrative support to the Purchasing Manager and office team as workload and priorities require. Assist with data entry, document preparation, filing, and routine operational projects. Follow established procedures and maintain accurate records across assigned responsibilities. Identify errors, missing information, or process concerns and escalate them appropriately. Provide backup support for similar administrative or transactional activities as trained and assigned. Qualifications High school diploma or equivalent required. Associate degree or additional education in business, administration, supply chain, or a related field preferred. Previous experience in administrative support, order processing, customer service, purchasing support, or a similar office environment preferred. Experience using an ERP or business management system preferred. Knowledge, Skills & Abilities Strong attention to detail and accuracy. Strong organizational and follow-through skills. Ability to manage multiple priorities and meet deadlines. Effective written and verbal communication skills. Comfortable working with numbers, pricing information, and business documentation. Ability to learn and accurately use ERP and other business systems. Proficiency with Microsoft Office, including Outlook, Excel, and Word. Ability to identify discrepancies and seek clarification when needed. Ability to work independently while supporting a collaborative office environment. Adaptable and willing to assist with changing business priorities. Physical Requirements Prolonged periods of sitting and working at a computer. Frequent use of standard office equipment. Ability to navigate office and warehouse environments as needed. Occasional lifting of materials or supplies up to 40 pounds. Ability to work in a fast-paced environment with frequent interruptions, changing workloads, competing priorities, and deadline-driven situations.
Pay:
$19.25 per hour Expected hours: 40.0 per week
