We are seeking a highly organized and proactive Master Scheduler to coordinate daily, weekly, and seasonal production schedules across our landscape maintenance and specialty service operations. This role is responsible for balancing crew capacity, customer priorities, weather conditions, employee availability, equipment needs, and operational requirements to ensure work is scheduled efficiently and completed on time. The ideal candidate is an excellent communicator who can think quickly, solve scheduling challenges, and remain calm and organized in a fast-paced environment. Key Responsibilities Develop, maintain, and communicate daily, weekly, and seasonal master production schedules. Schedule landscape maintenance crews, enhancement crews, irrigation technicians, winter weather teams, and specialty service crews. Balance workloads across crews based on manpower, skill level, location, job requirements, and priority. Monitor job progress throughout the day and adjust schedules as conditions change. Coordinate scheduling around weather delays, equipment breakdowns, employee availability, and unexpected operational issues. Partner with Operations, Department Heads, Account Managers, and other schedulers to coordinate resources and maintain operational efficiency. Review upcoming work to identify scheduling conflicts, capacity constraints, and resource shortages before they affect production. Incorporate emergency, priority, and time-sensitive customer requests into schedules appropriately. Maintain accurate scheduling records and promptly communicate schedule changes to affected teams. Collaborate with Operations and Administration to support accurate reporting of employee hours. Coordinate seasonal transitions, including spring cleanups, mulching, fall cleanups, snow preparation, and other seasonal services. Track crew capacity and production rates to improve scheduling accuracy and operational efficiency. Help develop and improve scheduling procedures, systems, and best practices. Communicate professionally and effectively with employees, managers, vendors, and customers when scheduling issues arise. Perform other duties as assigned. What We're Looking For Strong organizational and time-management skills. Excellent communication and interpersonal skills. Ability to prioritize competing demands and make sound decisions quickly. Strong problem-solving skills and attention to detail. Ability to manage frequent schedule changes while maintaining accuracy. Comfortable working in a fast-paced, operations-focused environment. Ability to collaborate effectively across multiple departments and teams. Proficiency with scheduling software, Microsoft Office, or similar systems preferred. Previous experience in scheduling, dispatching, operations coordination, landscaping, construction, facilities management, or a related field is preferred. Success in This Role The successful candidate will be someone who can see the big picture while managing the details —anticipating resource needs, identifying potential conflicts before they become problems, and keeping crews and operational teams informed as priorities change. Why Join Us? This is an opportunity to play a critical role in the day-to-day success of a growing operations team. Your work will directly influence crew productivity, customer satisfaction, and our ability to deliver high-quality services on schedule.
