Indigo Promotions is a minority-owned branded merchandise company that creates custom products, apparel, packaging, event giveaways, and corporate gifting programs for leading global brands. We manage creative, deadline-driven projects through domestic suppliers, overseas factories, and our in-house production capabilities.
Position Overview:
Indigo Promotions is seeking an organized, dependable, and highly detail-oriented Order and Production Coordinator to join our team. This is an entry-level position with hands-on training provided. You will learn how to create purchase orders, communicate with suppliers and factories, monitor production schedules, review order details, and help ensure projects are completed accurately and delivered on time. The goal is for this person to gradually take ownership of the production coordination process for an assigned group of clients. No promotional products experience is required, but you must be organized, comfortable following detailed processes, and willing to take responsibility for keeping projects on track.
Responsibilities:
Create purchase orders with accurate pricing, quantities, product specifications, artwork instructions, shipping information, and delivery dates. Communicate regularly with domestic suppliers and overseas factories to request updates and keep orders moving. Monitor production schedules and confirm that projects remain on track for their required delivery dates. Request and organize virtual proofs, product samples, production photos, tracking information, and shipping documents. Carefully review purchase orders, proofs, and production details for accuracy before orders move forward. Track projects from the time an order is placed through production, shipping, and final delivery. Keep CommonSku and internal project trackers updated with accurate order information. Notify the team immediately about potential delays, inventory problems, artwork concerns, or production issues. Help coordinate solutions when an order encounters a production or shipping problem. Maintain clear records of factory conversations, approvals, deadlines, and project updates. Learn Indigo Promotions' production procedures and gradually take ownership of assigned orders and client projects. Assist with estimates, sales orders, invoices, and client presentations when needed. Handle additional production and operational responsibilities as assigned.
Qualifications and Skills:
This is an entry-level position, and previous promotional products or production experience is not required. Strong attention to detail and the ability to review information carefully. Excellent organization and time-management skills. Clear and professional written communication. Ability to follow established procedures while learning when to ask questions or escalate an issue. Comfortable managing several assignments and deadlines at the same time. Dependable, responsive, and willing to follow through until a task is completed. Comfortable working in a fast-paced environment where priorities may change. Basic proficiency with Google Workspace, including Gmail, Google Sheets, and Google Docs. Willingness to learn CommonSku and other order-management tools. Experience in customer service, administration, purchasing, logistics, project coordination, or order processing is helpful but not required. Experience communicating with vendors or working across international time zones is a plus. Positive attitude and willingness to learn from feedback.
Training and Growth:
The Order and Production Coordinator will receive hands-on training in Indigo Promotions' systems, supplier relationships, order-management procedures, and production processes. The successful candidate will begin by supporting existing production workflows and learning alongside an experienced team member. As their knowledge and confidence grow, they will be expected to independently manage purchase orders, supplier communication, production schedules, and delivery tracking for assigned projects.
Schedule Expectations:
This is a full-time, in-person position. Because Indigo Promotions works with overseas factories and manages time-sensitive projects, occasional communication outside standard business hours may be required. This is not a 24-hour on-call position, but flexibility may be needed when an urgent production matter arises.
