Service Operations Coordinator - Commercial Maintenance

Job Description

FPS is a growing commercial maintenance and repair company serving commercial and retail clients throughout Long Island, New York City, New Jersey, and the surrounding tri-state area. We provide multi-trade repair and maintenance services including doors and hardware, plumbing, electrical, carpentry, painting, flooring, general repairs, and other facility maintenance needs. We are looking for a highly organized, dependable Service Coordinator to join our office team in Lynbrook, NY. This position is a great fit for someone who is a strong communicator, learns quickly, stays organized, and enjoys solving problems. Prior construction or service industry experience is helpful, but not required. We are willing to train the right person who is motivated and able to learn quickly.
Position Responsibilities:
Communicate with customers regarding work order status, technician ETAs, findings, follow-up work, parts status, and scheduling. Answer incoming phone calls and assist customers, & technician as needed. Maintain professional and clear communication with customers and other employees throughout the day. Monitor active work orders and make sure customers are kept properly updated. Communicate with field technicians regarding ETA, access issues, and other service needs. Review technician service reports, photos, measurements, and jobsite information. Follow up with technicians when additional information is needed. Assist with preparing basic repair and maintenance quotes. Research replacement parts and materials using model numbers, photos, measurements, manufacturer information, and technician findings. Contact manufacturers, distributors, supply houses, and vendors for pricing, availability, and lead times. Order approved parts and materials and track orders through delivery. Maintain accurate records using company-generated work order numbers. Make sure photos, reports, quotes, parts information, and customer communication are properly associated with the correct work order. Follow up on open quotes, parts orders, return visits, and incomplete work orders. Perform additional service coordination and administrative duties as the company continues to grow.
What We Are Looking For:
Strong verbal and written communication skills. Must be comfortable communicating with customers, technicians, coworkers, vendors, and manufacturers. Highly organized and able to manage multiple priorities at the same time. Fast learner who can understand new systems, processes, products, and terminology. Dependable and able to follow through on assigned tasks. Comfortable working in a fast-paced environment where priorities may change throughout the day. Strong computer skills and ability to learn new software. Comfortable working with photos, measurements, model numbers, part numbers, service reports, and other job information. Strong attention to detail. Able to work independently while also communicating effectively with the rest of the team. Proactive and willing to take ownership of assigned work.
Experience:
Prior experience in commercial maintenance, construction, HVAC, plumbing, electrical, facilities, property management, restoration, dispatching, project coordination, or a similar service environment is preferred but not required. Experience in commercial facilities maintenance, construction, property management, HVAC/plumbing/electrical service, service dispatching, or a supply house is also a plus. We are willing to train a motivated candidate who communicates well, learns quickly, and demonstrates strong organizational skills.
Schedule:
Full-time Monday through Friday 8:00 AM - 5:00 PM In-office position
