WHAT YOU'LL DO
- Answer incoming service calls and communicate professionally with customers about water well andpump problems
- Ask the right questions to help identify and troubleshoot customer problems
- Schedule and dispatch service crews based on location, urgency, technician availability, required skills, equipment, and materials needed
- Coordinate daily schedules and communicate changes with customers and field technicians
- Help technicians troubleshoot pumps, motors, pressure systems, electrical controls, storage systems, and other water well equipment
- Help determine what equipment, materials, and parts may be needed for each job
- Track open service calls and follow up to make sure jobs continue moving toward completion
- Work closely with technicians, office staff, and management to ensure service paperwork, job notes, materials used, and other required information are completed accurately and promptly
- Follow up on missing paperwork or information needed to complete and invoice a job
- Help ensure completed service calls are closed out and ready for invoicing in a timely manner
- Maintain accurate customer, job, scheduling, material, and equipment information
- Deliver equipment, parts, tools, or materials to field crews when needed
- Assist service technicians and other field personnel when a job requires additional hands
- Be willing to transition from office/ dispatch responsibilities to field support when the needs of the day require it
MATERIALS, VENDORS & WARRANTY
- Order pumps, motors, controls, pipe, fittings, tanks, electrical components, and other materials from vendors as needed
- Communicate with vendors regarding pricing, availability, lead times, orders, and deliveries
- Keep track of materials that have been ordered and when they are expected to arrive
- Identify and track which materials are assigned to each service job
- Make sure materials received from vendors are routed to the correct job or technician
- Coordinate with field crews so they know when required materials have arrived and are ready
- Help prevent materials purchased for one job from being misplaced or used on another job without proper documentation
- Track backordered or special-order materials and communicate delays to the appropriate employees
- Help maintain accurate records of materials ordered, received, used, returned, or awaiting installation
- Coordinate returns, exchanges, and defective equipment with vendors when necessary
- Maintain warranty information for pumps, motors, controls, tanks, and other equipment we install
- Track purchase dates, installation dates, serial numbers, model numbers, and other information needed for warranty claims
- Determine whether equipment may still be under manufacturer or company warranty when a customer calls with a problem
- Work with technicians, office staff, customers, and vendors to help process warranty claims
- Keep warranty documentation organized and easily accessible
TECHNOLOGY & COMMUNICATION
- Use modern dispatching and scheduling software
- Communicate effectively through phone, text, email, mobile apps, and other digital communication tools
- Confidently use computers, tablets, and smartphones
- Learn new software and technology as our company adopts it
- Use digital job information to keep technicians informed and prepared
- Use mapping, location, and scheduling tools to make dispatching more efficient
- Maintain organized digital records, job notes, warranty information, and customer information
- Use technology to track materials from ordering → receiving→ job assignment → installation
- Help improve how information moves between customers, vendors, field technicians, and office staff
- Be willing to learn and use new technology, automation, and AI-assisted tools as they become useful to our operations

- Interested in learning about water wells, pumps, electrical controls, water systems, and related equipment
FIELD SUPPORT
- Driving company vehicles to job sites
- Delivering pumps, motors, pipe, tools, equipment, or other materials
- Helping load and unload equipment
- Assisting technicians with service work when additional manpower is needed
- Helping prepare equipment and materials for upcoming jobs
- Supporting field crews during busy periods or unusual service situations
EXPERIENCE
Some previous experience in service, maintenance, mechanical, electrical, plumbing, pumps, HVAC, equipment, dispatching, parts, inventory, or similar troubleshooting work is preferred. Previous water well experience is a plus, but not required. Experience with service management, scheduling, dispatching, inventory, purchasing, or field-service software is also a plus. A valid driver's license and the ability to safely operate company vehicles will be required. Most importantly, we're looking for someone with the mechanical aptitude, organizational ability, communication skills, technology skills, work ethic, and attitude to learn the position.

The schedule stays organized. Warranty information is documented and accessible. The field team gets additional help when needed. The job gets completed. The paperwork gets turned in. And the job gets invoiced in a timely manner. In other words, this person helps follow the service job all the way through—from the first phone call to the final invoice.
