00-$22.50 per hour, depending on experience, qualifications, and demonstrated ability Advanced Witness Series, Inc. (AWS) is a leader in the torque testing market. We manufacture and service torque testing equipment. AWS is looking for a dependable, organized, and motivated Administrative & Operations Coordinator to become a key part of our day-to-day office operations. This is not a traditional receptionist or single-duty administrative position. We are a small, fast-moving company where everyone wears multiple hats, and we need someone who is flexible, takes ownership of their work, communicates well, and is willing to learn new responsibilities as they grow into the position. This person will serve as one of our primary customer contacts and will play an important role in keeping work flowing through the company. Responsibilities will include answering phones and emails, communicating with customers, entering and maintaining sales orders, creating purchase orders as needed, helping coordinate and set the daily and upcoming work schedule alongside management, tracking open jobs, maintaining records and documentation, assisting with customer follow-up, and handling general office administration. QuickBooks may be used for sales orders or purchase orders, but this is not an accounting position and we have dedicated accounting staff. Because this position has direct contact with customers, the ideal candidate must provide excellent customer service and communicate professionally by phone and email. They should be able to gather accurate information, understand customer needs and deadlines, communicate those needs internally, and follow up to make sure nothing falls through the cracks. The person in this role will work closely with managers and other employees to help prioritize work and keep customers informed. We are looking for someone who is prompt, dependable, highly organized, detail-oriented, and comfortable managing multiple tasks at the same time. Strong computer skills and the ability to learn new software and processes are important. Previous office, administrative, customer service, scheduling, order-entry, or operations experience is strongly preferred, but we are willing to train the right person who demonstrates strong ability, professionalism, and initiative. Experience in torque, calibration, manufacturing, or our specific industry is
  • not required
•. We expect to teach the right candidate our products, terminology, software, procedures, and workflow. What matters most is finding someone who is willing to learn, asks good questions, follows through, adapts quickly, and can become someone the office and management team can depend on. Authority and responsibility will be limited during the initial training period while the employee learns our systems and processes. As knowledge, reliability, and ability are demonstrated, the position will be given increasing ownership and responsibility within the office and scheduling process. There is significant opportunity for the right person to grow into an important long-term role within the company.
  • Preferred qualifications include:
  • Previous administrative, office, customer service, scheduling, or operations experience
  • Strong phone and email communication skills
  • Excellent organization and attention to detail
  • Strong computer and data-entry skills
  • Ability to learn new software and technical processes
  • Ability to prioritize multiple tasks and deadlines
  • Strong follow-through and personal accountability
  • Professional and positive customer-service attitude
  • Ability to work independently while also coordinating closely with management and other employees
  • Comfortable working in a small-business environment where responsibilities may change based on daily needs AWS offers health, dental, and vision insurance after successful completion of a 90-day probationary period.
We are looking for someone who wants more than just a desk job. The right candidate will become an important part of our operation and someone our customers, managers, and employees can rely on every day.
