This is not simply a bookkeeping position and not simply an administrative position. We are looking for someone who is exceptionally good with numbers, systems, organization and follow-through and who can own several critical administrative functions of a fast-moving construction company. The right person will be comfortable moving between QuickBooks, spreadsheets, permits, purchase orders, vendors, pricing, material ordering, lender requests and general business administration throughout the day. Core Responsibilities Accounting & Job Costing Maintain accurate company books in QuickBooks Track costs by project and maintain accurate job costing Issue and manage purchase orders through QuickBooks Code invoices and expenses accurately to jobs Assist with accounts payable and accounts receivable Reconcile accounts and maintain clean financial records Produce and maintain internal spreadsheets and management reports Work with company leadership, project managers and outside accounting professionals Purchasing & Pricing Order construction materials across active projects Maintain current material pricing Obtain quotes and compare vendors Track orders, deliveries and discrepancies Maintain purchasing records and PO discipline Help identify cost overruns and inconsistencies before they become larger problems Permitting & Construction Administration Prepare and submit permit applications Communicate with municipalities and permitting departments Track permit status aggressively through approval Maintain required construction documents Coordinate information between project management, vendors, municipalities and leadership Company Administration Maintain contractor licenses, registrations and renewals Track insurance certificates, policies and expiration dates Prepare builder qualification and lender application packages Maintain organized corporate and project records Assist leadership with special projects and administrative needs Build and improve systems as the company continues to grow Who We're Looking For The right candidate is: Extremely organized Excellent with numbers Highly proficient in QuickBooks Exceptional with Excel and/or Google Sheets Comfortable learning new software quickly Assertive enough to follow up repeatedly when something needs to get done Detail-oriented without becoming slow or bureaucratic Able to prioritize multiple competing responsibilities Comfortable working in a fast-paced construction environment Capable of solving problems without waiting to be told every next step Reliable and consistent An excellent written and verbal communicator Someone who takes genuine ownership of their responsibilities Preferred Experience Strong preference will be given to applicants with experience in one or more of the following: Residential construction General contracting Construction bookkeeping/accounting QuickBooks job costing Purchasing or procurement Construction permitting Project coordination Builder or developer operations Real estate development Experience across multiple areas above will receive particularly strong consideration.

"Was this material ordered?" "Did we issue the PO?" "Is this invoice coded to the correct job?" "When does this license or insurance policy expire?" "Did the lender get what they needed?" The successful person will know the answer, have a system for tracking it, and frequently address issues before leadership even knows there is a problem.
