Reporting to the Logistics Supervisor, The Shipping Administrative Clerk is responsible for providing administrative and clerical support to the shipping department within a manufacturing environment. This position ensures accurate processing of shipping documentation, coordinates outbound shipments, maintains inventory and shipping records, communicates with carriers and customers, and supports the efficient movement of finished goods. The Shipping Administrative Clerk plays a key role in maintaining on-time delivery performance and ensuring compliance with company and customer requirements. Prepare and process shipping documents including bills of lading, packing slips, shipping labels, and export documentation as required. Schedule and coordinate shipments with freight carriers, parcel services, and third-party logistics providers. Verify shipping information for accuracy, including product quantities, weights, dimensions, and destination details. Enter and maintain shipping data in ERP, warehouse management, and transportation management systems. Communicate with production, warehouse, customer service, and transportation providers regarding shipment schedules and delivery status. Track shipments and resolve shipping discrepancies, delays, and carrier issues. Maintain accurate shipping records and filing systems. Assist with inventory transactions, cycle counts, and inventory reconciliations as needed. Monitor shipping supplies and coordinate replenishment of labels, packaging materials, and office supplies. Support compliance with company policies, quality standards, and safety procedures. Generate shipping reports and performance metrics for management review. Assist with receiving documentation and administrative tasks when required. Provide excellent customer service to internal and external stakeholders. Knowledge High school diploma or GED required. Minimum of 1-3 years of administrative, shipping, logistics, or manufacturing experience preferred. Proficiency in Microsoft Office Suite, especially Outlook, Excel, and Word. Experience working with ERP systems and shipping software preferred. Strong data entry skills with a high level of accuracy. Excellent organizational, time management, and communication skills. Ability to manage multiple priorities in a fast-paced manufacturing environment. Basic understanding of shipping, inventory, and logistics processes. Experience Experience in a manufacturing or distribution environment. Knowledge of freight carrier systems (UPS, FedEx, LTL, and truckload shipments).
