The Shipping and Receiving Specialist II position at XOS is an integral part of the Operations team that drives the business by interacting with all levels of associates at XOS. Being a member of this team is an opportunity to make an impact on an organization that is helping improve the world around us. This position has standard hours of 8:30 A.M. to 5:00 P.M. You would be responsible for safely, efficiently, and accurately gathering and preparing orders for truck shipments. This team, and position, is responsible for physically and electronically receiving and handling all incoming materials, in a safe, accurate, and timely manner. You need to be comfortable lifting up to 50 lbs., standing on your feet, and confident in reaching, twisting, and squatting.
Responsibilities :
Perform receiving and shipping functions with a high degree of accuracy (targeting 99%+ annually), including verifying incoming and outgoing shipments against purchase orders, sales orders, packing slips, and invoices. Follow established material flow processes and assist in implementing new procedures to improve efficiency. Maintain accurate inventory control using FIFO principles and ensure timely updates. Schedule and prioritize orders to meet shipping deadlines; collaborate with internal teams to synchronize material flow and inventory requirements. Prepare outgoing shipments by packing, labeling, and assembling required documentation (e.g., bills of lading, shipping labels, manifests, commercial invoices, packing lists). Affix shipping labels and ensure compliance with standard work practices. Assemble appropriate packaging materials, including foam packs, wooden or cardboard containers, or select preassembled containers. Properly maintain and archive shipping and receiving documentation for compliance and traceability. Manage daily communication with internal stakeholders (Sales, Order Management) via email and phone to resolve issues and confirm details. Support purchase order resolution processes and act as a resource for escalated problems when needed. Identify and resolve common stocking or workflow issues independently using established guidelines. Apply lean principles and continuous improvement practices to support quality management initiatives within the shipping/receiving function. Utilize intermediate computer skills and Microsoft Office tools for documentation, scheduling, and reporting. Conduct basic data analysis to identify inefficiencies or bottlenecks and recommend workflow or technology improvements. Maintain a high level of accuracy, attention to detail, and organization in all tasks.
QUALIFICATIONS
Critical Success Factors:

Ability to read and prepare standard shipping documentation (bills of lading, manifests, invoices, packing lists). Strong organizational skills with high attention to detail and accuracy.
Required Skills/Experience :
(List of required skills and experience to perform this position) 3+ years previous experience in international shipment processing and compliancy Experience shipping with UPS, FedEx, and filling out various freight documentations is highly preferred. Experience in using MRP Systems. Must be familiar with basic component identification, part number systems, material handling equipment, and the inventory management system. Proficiency in Microsoft Office programs Required to lift up to 50 pounds Must be able to stand on feet for long periods of time Routinely required to reach, squat, turn/twist
