The Warehouse Administrator is responsible for maintaining accurate inventory records, processing shipping and receiving documentation, coordinating with warehouse staff and transportation providers, and ensuring timely and efficient administrative support for warehouse operations. Key Responsibilities Maintain accurate warehouse records, inventory data, and shipping documentation. Process inbound and outbound shipments, including Bills of Lading (BOLs), packing slips, and receiving reports. Coordinate with warehouse supervisors, logistics providers, and customer service teams to ensure timely order processing. Monitor inventory transactions and reconcile discrepancies within the warehouse management system (WMS) or ERP system. Prepare and distribute shipping, receiving, and inventory reports. Verify purchase orders, invoices, and shipment documentation for accuracy. Schedule inbound deliveries and outbound pickups with carriers. Assist with cycle counts, physical inventory audits, and inventory reconciliation. Maintain organized filing systems for warehouse and compliance documentation. Respond to internal and external inquiries regarding shipments, inventory, and warehouse activities. Support compliance with company policies, food safety standards, and workplace safety regulations. Perform general administrative duties, including data entry, report preparation, and correspondence. Collaborate with cross-functional departments to improve warehouse efficiency and accuracy. Qualifications High school diploma or GED required; Associate's degree preferred. 2+ years of warehouse administration, logistics, or inventory control experience preferred. Experience in food distribution, manufacturing, or consumer packaged goods is an advantage. Proficiency in Microsoft Office Suite, especially Excel and Outlook. Experience with Warehouse Management Systems (WMS), ERP systems (such as SAP, Oracle, Microsoft Dynamics, or similar), or inventory management software. Strong data entry, organizational, and documentation skills. Excellent verbal and written communication skills. Ability to prioritize multiple tasks in a fast-paced warehouse environment. Strong attention to detail and problem-solving abilities. Preferred Skills Knowledge of inventory control procedures and warehouse operations. Familiarity with shipping carriers and transportation documentation. Understanding of food safety, GMP, HACCP, or FDA regulations is a plus. Ability to work independently and collaboratively with warehouse teams. Strong analytical and reporting skills. Physical Requirements Ability to work in a warehouse environment with varying temperatures. Occasionally lift or move items up to 25 pounds. Ability to sit, stand, walk, and use a computer for extended periods. May occasionally enter warehouse operational areas requiring appropriate personal protective equipment (PPE). Work Schedule Full-time position. Flexibility to work overtime, weekends, or holidays as business needs require.
