Position Summary The Inventory Control and Recall Manager (ICRM) owns the full seed-to-sale lifecycle of Mantra Journey's cannabis inventory — tracking, storage, waste management, and recall coordination — in strict compliance with Kentucky's medical cannabis regulations and the state's METRC tracking system. The ICRM reports to the General Manager and/or Assistant General Manager, coordinates day-to-day with associates who share vault access, and works closely with vendors to ensure quality, variety, and secure product handling. This role does not carry direct supervisory authority over other staff. The ICRM is Mantra Journey's state-designated responsible person for all recalled products, both voluntary and mandatory. The General Manager and Assistant General Manager serve as named backup recall contacts to ensure coverage during the ICRM's absence. General Qualifications Must be 21 years of age or older and hold a high school diploma or equivalent Prior experience in retail management preferred; experience in the medical cannabis industry preferred Strong coordination and leadership abilities for working effectively with associates and other departments Working understanding of state and local medical cannabis laws Excellent communication skills with local government and state regulatory agents Effective time management and ability to multitask Ability to work in a fast-paced, changing, and challenging environment Experience with POS applications Ability to follow established policies and procedures Contributes to the development of concepts, policies, and procedures as necessary to perform job duties and tasks efficiently Serves as designated primary recall coordinator; thorough understanding of Kentucky's recall regulations Helps maintain quality assurance records and logs with strong attention to detail Must qualify for and maintain a valid Kentucky dispensary agent registration, including passing a state-required criminal background check Duties & Responsibilities Inventory & Seed-to-Sale Tracking Manage inventory from seed to sale or destruction within the inventory management system (IMS) and METRC. Ensure all products received are appropriately labeled and entered into METRC prior to storage placement in the vault. Ensure products are accounted for and moved within the IMS to their designated areas of sale, storage, or overstock. Work with the GM and AGM to ensure staff are trained on the METRC system and product tracking. Storage, Security & Product Handling Responsible for product expiration tracking and appropriate storage or removal of expired products from active sale inventory. Work with the GM and AGM to organize storage of all cannabis products in a designated, locked secure area. Work with the GM and AGM to secure cannabis sample/display jars, if applicable. Waste Management Responsible for cannabis waste management and timely, transparent reporting. Vendor Coordination Work with the GM and AGM to source vendors and procure quality product across all product formats. Recall Coordination Serve as Mantra Journey's designated primary recall coordinator and the state's responsible person for all recalled products, both voluntary and mandatory. The GM and AGM serve as named backup contacts. Work with the GM and AGM to ensure all recalled products are returned by patients, logged, and placed in the IMS for tracking. Ensure all destruction, recall, and damaged-product logs are accurately and completely filled out. Quality Assurance & Recordkeeping Maintain quality assurance records and logs with strong attention to detail. Contribute to the development of concepts, policies, and procedures as necessary to perform inventory and recall duties efficiently. Note on Classification Exempt/Non-Exempt status has not yet been determined for this role. This role does not currently carry direct supervisory authority over staff, which affects whether it qualifies for an FLSA exemption despite the "Manager" title. Confirm classification before finalizing pay structure. Physical Requirements Ability to stand, walk, and work within a secure vault/storage environment for extended periods Ability to lift and move product and supplies up to 40 lbs Manual dexterity for POS, METRC, IMS, and documentation systems Visual and auditory acuity sufficient to verify labeling, documentation, and communicate clearly with staff, vendors, and regulators
