Job Description

Description of Responsibilities The Logistics Manager shall oversee all logistics functions within the FountainRx shipping and receiving area, including inbound receiving, outbound shipping, inventory, and transportation management. The Logistics Manager shall have working knowledge of pharmacy workflow, prescription processing, and applicable operating procedures. The Logistics Manager shall be responsible for the safe, efficient, and compliant movement and delivery of medications, supplies, and equipment. This includes managing carrier and supplier relationships, maintaining inventory integrity, ensuring regulatory compliance, and leading the logistics team to achieve on-time delivery to patients and healthcare providers. Responsibilities of the Logistics Manager include the following: Inbound Logistics and Receiving 1) Oversee inbound logistics operations, including coordination of supplier shipments and inbound transportation. 2) Manage the receiving function, including unloading, inspection, and documentation of incoming medications, supplies, and equipment against purchase orders and packing lists, and receipt into the pharmacy management system. 3) Ensure incoming shipments are inspected for damage, temperature excursions, and completeness prior to acceptance; quarantine, document, and report non-conforming shipments to the Senior Supply Chain Director. 4) Coordinate with suppliers and procurement to resolve discrepancies, short shipments, damaged goods claims, and return authorizations. 5) Distribute received goods to appropriate departments and storage areas in accordance with applicable requirements. Shipping and Receiving Area Operations and Inventory 6) Oversee day-to-day operations of the shipping and receiving area, maintaining efficient workflow for inbound and outbound activity. 7) Direct inventory management, including cycle counts, accuracy audits, and reconciliation against system records; investigate and resolve variances. 8) Maintain sanitation, lighting, and temperature and humidity conditions in accordance with United States Pharmacopeia (USP) general chapters, including USP <659>, <1079>, and <1079.2>. 9) Oversee value-added services in the shipping and receiving area, including kitting, labeling, and light assembly as directed. 10) Supervise shipping and receiving personnel, manage labor assignments, and drive continuous improvement in workflow, productivity, and safety. Outbound Shipping and Order Fulfillment 11) Oversee outbound shipping operations, including picking, packing, manifesting, and carrier tendering of prescription and supply orders. 12) Ensure all shipments comply with regulatory requirements, accreditation standards, and patient safety requirements, with attention to cold chain integrity, packaging, and labeling accuracy. 13) Monitor quality control measures to ensure medication integrity during transit; maintain current knowledge of USP shipping standards. 14) Maintain delivery schedules, monitor on-time performance, and take corrective action when service levels are not met. 15) Resolve shipping-related issues and inquiries from patients and healthcare providers promptly and professionally. Transportation Management and Carrier Relations 16) Manage relationships with carriers, freight brokers, and third-party logistics providers; evaluate performance on cost, reliability, and compliance. 17) Optimize freight spend through mode selection, route planning, and negotiation of rates and service agreements. 18) Monitor shipment performance metrics, including on-time delivery, exception rates, and cost per shipment; report findings and recommendations to leadership. 19) Leverage transportation management software to improve shipment visibility, tracking, and reporting. Compliance, Quality, and Regulatory 20) Ensure logistics operations comply with applicable federal and state regulations, including Drug Supply Chain Security Act (DSCSA) requirements, state board of pharmacy regulations, and accreditation standards. 21) Maintain and update standard operating procedures for all logistics functions; ensure staff training records are current. 22) Manage shipping supply inventory levels to support uninterrupted operations. 23) Support pharmacy leadership and quality personnel in logistics-related audits, inspections, and accreditation reviews. Reporting, Analysis, and Communication 24) Prepare regular reports on shipping volume, delivery performance, freight cost, inventory accuracy, and carrier performance; identify trends and cost-saving opportunities. 25) Coordinate with Procurement, Pharmacy Operations, Patient Services, and other departments to ensure seamless supply chain execution. 26) Other projects, activities, or responsibilities assigned at the discretion of the Senior Supply Chain Director or their designee. Team Leadership and Development 27) Provide results-driven leadership to logistics personnel; set clear expectations, ensure staff have necessary resources, and hold individuals accountable. 28) Foster a positive team culture; balance workload assignments and recognize individual and team contributions. 29) Support recruitment, onboarding, and development of logistics staff in coordination with Human Resources. Minimum Qualifications High school diploma or equivalent required; associate's or bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field preferred. Minimum of three (3) years of experience in logistics, shipping, or supply chain operations required; pharmacy or healthcare distribution experience preferred. Ability to work independently and manage multiple concurrent projects in a fast-paced environment. Proficiency in logistics and transportation management software and standard office productivity applications. Working knowledge of pharmaceutical shipping requirements, including cold chain management and applicable USP standards, preferred. Familiarity with Drug Supply Chain Security Act (DSCSA) compliance preferred. Strong analytical and problem-solving skills; ability to interpret operational data and identify improvement opportunities. Excellent written and verbal communication skills. Demonstrated experience supervising staff. Valid driver's license required. Physical Requirements and Work Environment The physical requirements and working conditions described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. Frequent reaching, bending, stooping, and lifting required; must be able to lift and carry up to 40 pounds unassisted. Good hand-eye coordination required for inspection and verification of medications and shipping materials. Must communicate effectively in person and by telephone and interpret detailed written shipping and regulatory documents. Potential exposure to pharmaceutical products; personal protective equipment shall be worn in accordance with policy.
