Fleet Manager Down to Earth Landscaping, Inc. is a leading landscaping company serving New Jersey, Pennsylvania, Virginia, Maryland, and Delaware. Our services include Landscape Construction, Landscape Maintenance, Irrigation, Turf Management, and Snow Removal. We are seeking an experienced Fleet Manager to oversee the day-to-day management, safety, compliance, maintenance, and organization of the company's fleet of vehicles and equipment. This position will work closely with field operations, division leadership, and the shop to ensure vehicles and equipment are safe, properly maintained, compliant with applicable regulations, and available to support daily operations. Key Responsibilities Fleet Management & Operations Manage and maintain the company's Geotab fleet tracking system, including vehicle and equipment tracking, reporting, and driver activity. Maintain accurate and up-to-date records of all company vehicles and equipment. Oversee daily fleet dispatch and morning yard operations to ensure vehicles and equipment are in safe operating condition before leaving the yard. Coordinate with division leadership to ensure designated yard areas remain clean, organized, and safe. Manage and maintain all vehicle, equipment, and facility keys. Coordinate the movement and mobilization of vehicles and equipment for sale, auction, transfer, or other company needs. Fleet Safety & Compliance Enforce company fleet and driver safety policies and procedures. Monitor driver behavior and address unsafe driving practices, including speeding and other fleet-related violations. Review fleet tracking data and communicate safety concerns and trends to appropriate management. Maintain compliance with applicable DOT requirements, inspections, testing, and other transportation regulations. Coordinate required vehicle inspections, smoke testing, recalls, and other regulatory requirements. Support the company's overall transportation and occupational safety initiatives. Maintenance & Repairs Oversee and schedule preventative maintenance for company vehicles and equipment. Coordinate vehicle and equipment repairs with shop mechanics and outside service providers as needed. Coordinate the installation, maintenance, and troubleshooting of GPS/telematics devices with shop personnel. Track maintenance schedules and ensure required repairs and services are completed in a timely manner. Monitor fleet condition and identify maintenance or replacement needs before they impact operations. Administrative & Other Responsibilities Maintain accurate fleet records, documentation, and compliance files. Provide regular updates to management regarding fleet condition, safety, compliance, maintenance, and operational concerns. Identify opportunities to improve fleet safety, efficiency, organization, and cost control. Perform other duties and special projects as assigned by Executive Management. Qualifications & Skills Minimum of 2 years of fleet management or fleet operations experience. Minimum of 2 years of overseeing direct reports, particularly Fleet Coordinator and shop personnel. Thorough knowledge and understanding of DOT rules and regulations. Experience with fleet tracking/telematics systems; Geotab experience preferred. Knowledge of vehicle and equipment maintenance, preventative maintenance programs, and repair scheduling. Strong problem-solving, organizational, and analytical skills. Highly detail-oriented with a strong focus on accuracy and follow-through. Strong written and verbal communication skills. Ability to manage multiple priorities and work effectively under pressure and strict deadlines. Strong computer skills, including proficiency in Microsoft Excel, Word, and Outlook. Ability to collaborate effectively with field operations, management, and shop personnel. Positive, professional, team-oriented attitude. Experience with occupational safety, transportation safety, and environmental compliance preferred.
