Ignite Logistics LLC is seeking an experienced, highly organized, and technologically savvy Fleet Manager to oversee a fleet of 60+ delivery vans, with the potential to manage a fleet of up to 120 vans in a fast-paced Amazon Delivery Service Partner (DSP) environment. The Fleet Manager is responsible for ensuring that the company maintains a safe, compliant, reliable, and operationally ready fleet every day. This position requires someone who can effectively balance hands-on fleet management with administrative responsibilities, data tracking, compliance requirements, vendor coordination, and operational deadlines. The ideal candidate understands that fleet availability directly impacts route commitments and daily delivery performance. You must be able to anticipate maintenance needs, identify potential vehicle shortages before they occur, coordinate repairs and service, and ensure the company has enough available vans to support daily route volume. This is a high-accountability position requiring strong organizational skills, attention to detail, technology proficiency, communication, problem-solving, and the ability to multitask under pressure. Core Responsibilities Fleet Management & Vehicle Availability Manage the day-to-day operations and readiness of a fleet ranging from 60+ vans to as many as 120 vans. Ensure sufficient vehicles are available each day to meet scheduled route commitments and operational requirements. Monitor fleet availability and proactively identify potential vehicle shortages. Develop and maintain a daily fleet-readiness plan based on scheduled routes, vehicle availability, maintenance requirements, and expected operational needs. Coordinate vehicle assignments and availability with Operations and Dispatch leadership. Track vehicles that are active, in maintenance, awaiting repair, out of service, or otherwise unavailable. Minimize vehicle downtime and develop solutions to return vehicles to service as quickly and safely as possible. Maintain contingency plans for unexpected breakdowns, accidents, or other vehicle-related issues. Ensure vehicles are clean, safe, properly equipped, and operationally ready before being placed into service. Amazon SOP & Compliance Maintain fleet compliance with Amazon DSP Standard Operating Procedures (SOPs) and applicable company requirements. Stay current on Amazon fleet-related policies, processes, inspections, documentation, and compliance requirements. Complete and maintain required administrative records accurately and within established deadlines. Monitor required vehicle inspections, maintenance intervals, documentation, and other compliance-related requirements. Ensure fleet records are complete, accurate, current, and readily available for audits or management review. Identify compliance gaps and take corrective action before they become operational issues. Work closely with leadership to ensure fleet processes align with current Amazon requirements. Maintain a high level of attention to detail when working within Amazon's technology platforms and other fleet-management systems. Technology & Administrative Responsibilities Demonstrate strong computer and technology skills and be comfortable working extensively with fleet-management software, Amazon systems, spreadsheets, databases, email, mobile applications, and other digital tools. Perform daily administrative tasks required to maintain fleet compliance and operational readiness. Accurately enter, update, review, and reconcile fleet information across multiple systems. Track maintenance schedules, mileage, inspections, repairs, vehicle status, and related documentation electronically. Create and maintain spreadsheets, reports, trackers, and dashboards to monitor fleet performance. Use data to identify trends, recurring vehicle problems, maintenance needs, and potential availability issues. Manage multiple technology platforms simultaneously while maintaining accuracy. Quickly learn new software, systems, and processes as Amazon or the company introduces operational changes. Maintain organized electronic and physical records for all vehicles. Maintenance & Repairs Establish and monitor preventative maintenance schedules for the entire fleet. Coordinate routine maintenance, inspections, repairs, recalls, and emergency service. Work directly with dealerships, mechanics, mobile technicians, towing companies, rental providers, and other vendors. Monitor repair timelines and follow up to prevent unnecessary vehicle downtime. Review repair recommendations and determine the appropriate course of action in coordination with management. Track vehicle maintenance costs and identify opportunities to control expenses without compromising safety or reliability. Maintain complete maintenance histories for every vehicle. Monitor recurring mechanical issues and escalate significant problems to management. Daily Operations & Multitasking Manage multiple competing priorities while consistently meeting operational and administrative deadlines. Balance immediate vehicle issues with long-term preventative maintenance requirements. Prioritize repairs based on safety, operational impact, route commitments, and vehicle availability. Communicate quickly and effectively with Operations, Dispatch, drivers, management, and vendors. React to unexpected breakdowns, accidents, vehicle defects, or other emergencies while continuing to manage scheduled fleet responsibilities. Anticipate problems before they affect the operation and take proactive corrective action. Maintain composure and accuracy in a high-pressure, deadline-driven environment. Ensure fleet-related tasks are completed on time without allowing administrative requirements to interfere with daily vehicle readiness. Daily Fleet Management Expectations The Fleet Manager must be prepared to: Review the fleet status at the beginning and end of each operating day. Determine how many vans are available, unavailable, in maintenance, or expected to return to service. Compare available vehicles against the day's route requirements. Identify potential vehicle shortages before routes are impacted. Coordinate repairs and maintenance based on operational priorities. Verify required inspections and documentation are completed. Update fleet systems and internal tracking tools. Communicate vehicle availability and issues to Operations leadership. Follow up with vendors on outstanding repairs. Review upcoming maintenance needs to prevent future vehicle shortages. Complete all required administrative and compliance tasks by their deadlines.
Basic Requirements:
Eligible to work in the U.S At least 21 years of age Successfully pass a pre-employment drug test 1+ years of fleet management, transportation, logistics, automotive, or delivery operations experience. Experience managing a fleet of 60+ vehicles preferred. Ability and willingness to manage a fleet that can scale to 120+ vans. Understanding of vehicle maintenance, inspections, and fleet operations. Highly technologically savvy with the ability to learn and navigate multiple software platforms. Strong proficiency with Microsoft Excel, Google Sheets, email, and other administrative tools. Exceptional organizational and time-management skills. Ability to manage multiple deadlines and priorities simultaneously. Strong attention to detail and accuracy. Ability to analyze information and make quick operational decisions. Excellent communication and follow-through. Ability to work independently and take ownership of fleet operations. Valid driver's license and acceptable driving record. Ability to work flexible hours, including early mornings, evenings, weekends, and holidays when operationally necessary.
