  • 4:00pm Position Summary The Part-Time Fleet Manager is responsible for the day-to-day management, safety, cleanliness, maintenance coordination, assignments, and operational readiness of the MOWCC vehicle fleet .
Reporting directly to the Chief Financial Officer (CFO), who oversees Facilities and Transportation, the Fleet Manager will ensure that MOWCC vehicles are properly maintained, inspected, cleaned, assigned, documented, and available to support uninterrupted meal delivery and agency operations. The Fleet Manager will coordinate with employees, volunteers, Operations leadership, repair vendors, mechanics, and other service providers while maintaining accurate fleet records and promptly escalating significant safety, maintenance, financial, or operational concerns to the CFO. Essential Responsibilities 1. Fleet Readiness & Daily Operations Conduct regular inspections of MOWCC vehicles. Complete and maintain standardized vehicle inspection checklists. Ensure vehicles are safe, clean, fueled, and operational. Identify and promptly report mechanical, safety, cleanliness, or operational concerns. Remove vehicles from service when safety or mechanical conditions warrant. Coordinate the return of vehicles to service after required repairs or inspections. Maintain awareness of overall fleet availability and operational needs. 2. Preventative Maintenance Maintain a preventative maintenance schedule for each MOWCC vehicle. Monitor mileage and required service intervals. Track oil changes, tires, brakes, batteries, fluids, inspections, and other routine maintenance. Schedule preventative maintenance in advance to reduce vehicle downtime. Maintain complete documentation of all preventative maintenance. Notify the CFO of upcoming major maintenance needs or significant vehicle concerns. 3. Repairs & Vendor Coordination Receive and document vehicle repair requests. Coordinate repairs with approved mechanics, dealerships, tire companies, towing providers, and other vendors. Obtain appropriate authorization before non-emergency expenditures. Track repair estimates, approvals, costs, completion dates, and invoices. Follow up with vendors to ensure timely completion. Inspect or verify vehicles following repairs before returning them to service. Immediately escalate significant repairs, recurring problems, or unexpected costs to the CFO. 4. Vehicle Assignments & Accountability Maintain an accurate vehicle assignment and check-out/check-in system. Assign vehicles based on approved MOWCC operational needs. Ensure vehicles are used only by authorized personnel for approved agency business. Monitor vehicle availability and coordinate replacement vehicles when necessary. Maintain records identifying the assigned driver/user and vehicle. Report vehicle-use concerns or policy violations to the CFO. 5. Vehicle Cleaning & Appearance Establish and maintain a regular fleet cleaning schedule. Ensure vehicles are routinely cleaned inside and outside. Inspect interiors for trash, spills, odors, food debris, and other cleanliness concerns. Coordinate professional detailing or specialized cleaning when needed. Ensure vehicles present a clean, safe, and professional image of
MOWCC. 6.
Safety & Compliance Conduct routine vehicle safety inspections. Monitor tires, brakes, lights, mirrors, seat belts, windshield/wipers, fluids, and other safety-related components. Immediately report unsafe conditions to the CFO. Maintain documentation of inspections and corrective actions. Ensure vehicles identified with significant safety concerns are not placed into service until appropriately addressed. Maintain required vehicle documentation and inspection records. 7. Fleet Records & Documentation Maintain an organized fleet file for each vehicle, including: Vehicle identification information VIN and license information Current mileage Inspection checklists Preventative maintenance records Repair history Repair estimates and approvals Vendor information Invoices and receipts Tire records Accident/incident documentation Cleaning records Vehicle assignment/check-out records Registration and inspection information Warranty information Out-of-service dates and reasons 8. Fleet Checklist & Tracking System The Fleet Manager will maintain a standardized tracking system that provides the CFO with visibility into the condition and status of each vehicle.
Vehicle Tracking Should Include:
Vehicle → Mileage → Inspection Date → Issue Identified → Action Required → Vendor → Estimate → Approval → Repair Date → Cost → Completion → Returned to Service Outstanding vehicle issues should be reviewed regularly with the CFO. Financial & Asset Accountability Because the Fleet Manager reports to the CFO, the position is expected to maintain strong financial and asset-management practices, including: Following MOWCC purchasing and expenditure policies. Obtaining required approvals before expenditures. Monitoring repair and maintenance costs. Maintaining accurate invoices and receipts. Identifying opportunities to reduce unnecessary fleet expenses. Protecting MOWCC vehicles and other transportation assets. Promptly reporting loss, damage, accidents, misuse, or suspected unauthorized use. Supporting accurate fleet budgeting and forecasting by providing maintenance and repair information to the CFO. Qualifications High school diploma or equivalent required. Experience in fleet management, automotive maintenance, transportation, facilities, logistics, or a related field preferred. Knowledge of basic vehicle maintenance and safety inspections. Strong organizational and recordkeeping skills. Ability to coordinate effectively with mechanics and outside vendors. Ability to identify basic vehicle maintenance and safety concerns. Valid Texas driver's license and acceptable driving record. Ability to drive MOWCC vehicles when necessary. Ability to work independently and manage multiple priorities. Dependable, detail-oriented, responsive, and safety-conscious. Physical Requirements Ability to routinely walk around and inspect vehicles. Ability to bend, stoop, reach, and perform visual inspections. Ability to enter and exit various fleet vehicles. Ability to lift and carry items associated with routine vehicle operations within reasonable limits. Ability to work outdoors in varying weather conditions when conducting inspections. Key Performance Expectations The Fleet Manager is expected to: Keep MOWCC vehicles safe and road-ready. Maintain preventative maintenance schedules. Minimize avoidable vehicle downtime. Coordinate timely repairs and maintenance. Maintain clean, professional vehicles. Maintain accurate fleet records and checklists. Ensure vehicles are properly assigned and accounted for. Follow MOWCC purchasing and expenditure procedures. Immediately escalate significant safety, financial, or operational concerns to the CFO. Support uninterrupted meal delivery operations. Protect MOWCC's transportation assets through strong maintenance and accountability. Reporting & Communication The Fleet Manager reports directly to the Chief Financial Officer (CFO) . The CFO provides oversight of Facilities and Transportation and is responsible for ensuring appropriate accountability, financial controls, asset management, and operational coordination. The Fleet Manager will provide the CFO with regular updates regarding: Fleet condition Vehicles requiring repair Preventative maintenance due Vehicles out of service Repair costs and estimates Vehicle availability Safety concerns Vendor performance Fleet cleaning Vehicle assignments Outstanding maintenance items Part-Time Schedule This is a part-time position , with the schedule established based on MOWCC's fleet and transportation needs. The Fleet Manager may occasionally need to adjust hours to accommodate vehicle inspections, vendor appointments, repairs, emergencies, or other transportation requirements. MOWCC Mission Connection The Fleet Manager supports MOWCC's Leave No Senior Behind mission by helping ensure that vehicles are safe, reliable, clean, properly maintained, and available to support uninterrupted meal delivery and senior wellness services. The Fleet Manager is an essential part of protecting MOWCC's transportation assets and ensuring the organization has reliable vehicles to serve seniors throughout Collin County.
