Qualifications & Experience Previous customer service (at least 1 year), scheduling, dispatch, call center, office administration, or receptionist experience preferred. Experience coordinating field service technicians, drivers, or service appointments is a plus. Administrative support, filing, scheduling, or bookkeeping experience is advantageous. Experience with QuickBooks preferred but not required. Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook. Strong computer skills/data entry with the ability to learn new software, scheduling systems dispatch platforms, and other technology with accuracy and attention to detail. Excellent written and verbal communication skills and professional phone etiquette. Strong organizational, analytical, and problem-solving skills Ability to multitask, prioritize competing demands, and work efficiently in a fast-paced environment. Comfortable handling negotiations, customer objections, and unexpected scheduling changes. Ability to work independently while also contributing effectively as part of a collaborative team. Reliable, adaptable, proactive, and eager to learn.

Key Responsibilities:
Customer Service & Communication Provide professional phone, email, and in-person customer service with excellent communication and phone etiquette. Answer customer inquiries regarding services offered, account status, maintenance, and service agreements. Process customer service requests by gathering detailed information regarding appointment times, service updates, scheduling changes, and other relevant information. Handle customer concerns, objections, and unexpected issues calmly while working toward practical solutions. Follow up with customers after appointments or service calls to gather feedback and help ensure customer satisfaction. Scheduling, Dispatch & Route Coordination Schedule and coordinate service appointments based on customer availability, technician availability, service requirements, and priority. Create, optimize, assign and monitor daily service routes with consideration for traffic, geographic location, and efficient use of technician/driver time. Prioritize daily assignments and adjust schedules as needed to accommodate emergencies, cancellations, delays, and unexpected field changes. Utilize scheduling, dispatch, GPS, and other applicable software or online platforms to support efficient service coordination. Identify opportunities to improve workflow and operational efficiency. Service Records & Administrative Support Maintain accurate electronic records of service requests, service orders, repair orders, maintenance agreements, subscriptions, customer interactions, and work performed. Maintain organized digital and physical records. Track customer maintenance schedules, service agreements, and subscriptions. Contact customers regarding upcoming maintenance, service needs, agreement renewals, and subscriptions. Prepare or maintain reports related to scheduling, service activity, and daily operations. Assist with general office administration and other duties as assigned. Customer Follow-Up & Business Support Conduct outbound calls to confirm appointments, follow up on completed service, gather customer feedback, and address outstanding customer needs. Identify opportunities to educate customers about available maintenance programs, service agreements, subscriptions, and additional services. Assist with cash handling and processing customer payments when necessary.
Pay:
$18.00 - $25.00 per hour Expected hours: 24.0 per week
