This role is a mix of client communication, listing coordination, organization, and behind-the-scenes problem-solving. You'll help keep our clients informed, our listings organized, and all of the moving pieces of the real estate process on track. We're a small, high-producing team, so this isn't a role where you'll simply check boxes all day. We're looking for someone who takes ownership, notices when something needs attention, and enjoys making things easier for both our clients and the rest of the team. What You'll Do Client Experience & Communication Welcome and onboard new clients. Serve as a consistent point of contact for our clients. Keep clients informed about what's happening and what comes next. Coordinate communication between clients, agents, vendors, and other parties. Answer questions and help clients navigate the moving pieces of the process. Make sure clients feel taken care of without having to constantly ask us for updates. Listing Coordination & Management Coordinate everything needed to prepare properties for the market, including listing documentation. Schedule photographers, cleaners, contractors, stagers, and other vendors. Gather property information and prepare listings for launch. Enter and maintain accurate listing information in the MLS. Manage inventory of marketing materials, signage, lockboxes, and other launch details. Monitor showing activity and feedback. Buyer Support Help onboard new buyer clients. Set up and maintain property searches. Coordinate and schedule property showings. Communicate showing details and help keep the home search organized. Prepare and write offers for buyer clients, ensuring all necessary information and documentation is completed accurately. Database & Client Care Coordinate client gifts, pop-bys, events, and other client appreciation initiatives. Look for opportunities to create an even better client experience. Day-to-Day Operations Manage multiple deadlines, appointments, and moving pieces at once. Follow established systems, checklists, and processes. Communicate with vendors and service providers. Catch missing information or potential problems before they become bigger issues. Help improve systems when there's a better or more efficient way to do something. Provide after-hours client support, including responding to time-sensitive calls and text messages. Who We're Looking For You'll likely be a great fit if you: Are extremely organized and detail-oriented. Naturally take ownership of things. Don't need someone constantly reminding you what needs to happen next. Communicate clearly, professionally, and warmly. Are comfortable talking with clients on the phone, through text, and over email. Can manage multiple clients, deadlines, and priorities without becoming overwhelmed. Enjoy creating order out of lots of moving pieces. Are comfortable learning new technology. Can follow a process while still using good judgment when something unexpected happens. Notice details other people tend to miss. Enjoy helping people and making their lives easier. Maintain flexibility in day-to-day responsibilities and scheduling, as priorities can shift quickly in real estate and not every day will look the same. Are dependable and follow through on what you say you're going to do. What Success Looks Like Clients feel informed, supported, and taken care of. Listings are organized and launched on schedule. Showing activity and feedback are tracked. Weekly reports are completed consistently. Vendors and appointments are coordinated. Client records stay accurate. Details don't fall through the cracks. Ultimately, the goal of this position is simple: create an organized, seamless experience for our clients while keeping the day-to-day operations of a busy real estate team running smoothly.

$48,000.00 - $60,000.00 per year
