About White Oak Painting White Oak Painting is a growing residential painting company based in Burlington, Iowa. We want to change the way homeowners experience working with a contractor. We believe a home-service company can be responsive, thoughtful, creative, organized, and deeply caring from the first phone call through the final walkthrough. We don't see the world only as it is. We Don't Treat a Lead Like a Lead We use words like "lead," "conversion," and "set rate" because they help us measure our performance—but we never want those words to make us forget what matters. There is a real person on the other side of every phone call, form submission, email, and Facebook message. That person may be excited about transforming a home they love. They may be overwhelmed by a project they don't understand. They may have had a difficult experience with another contractor. They may simply want someone to listen, answer their questions, and do what they say they will do. We don't see a name in our CRM as another number to process. We see a life—a person who deserves our attention, respect, honesty, and care. The person in this role must be able to hold both sides of that responsibility: Pursue ambitious performance goals. Never lose sight of the human being behind the goal. About the Role This is not a general administrative position. You will not be spread across payroll, bookkeeping, production scheduling, recruiting, and miscellaneous office tasks. We want you focused on one clear area of ownership: Creating conversations, building relationships, and helping people confidently take the next step with White Oak Painting.

We believe that number can reach 80% when every person receives an immediate response, genuine attention, consistent follow-up, and an excellent conversation. Helping us reach that goal will be one of your most important responsibilities. During your scheduled hours, our phones should be answered. When a new inquiry arrives, that person should hear from us within 15 seconds whenever possible—and within three minutes at the absolute latest. Not because speed is the only thing that matters, but because responsiveness communicates something important: We see you. Your project matters. We're here to help. What You'll Own Phones and appointment setting Answer incoming phone calls with genuine warmth, energy, and professionalism. Make it a priority for every call to be answered during scheduled coverage. Respond to new inquiries within 15 seconds whenever possible and within three minutes at the absolute latest. Ask thoughtful questions and listen carefully to what the homeowner needs. Clearly explain what makes White Oak Painting different. Confidently guide qualified homeowners toward scheduling an estimate. Confirm appointments and help homeowners understand what to expect. Follow up with people who do not schedule during the first conversation. Continue following up thoughtfully without becoming robotic or pushy. Help increase our qualified lead-to-estimate set rate from approximately 30% toward 80%. This is not about pressuring someone into an appointment. It is about responding quickly, listening well, communicating our value clearly, and making the next step feel comfortable and easy. Lead management and customer re-engagement Keep every conversation, note, status, and next step accurate in our CRM. Make sure no promising opportunity is forgotten or left without a response. Re-engage people who previously expressed interest but did not schedule. Reconnect with past customers who may be ready for another project. Follow up on estimates, seasonal opportunities, and customer requests. Maintain an organized daily follow-up list and complete it consistently. Notice unfinished conversations and take responsibility for closing the loop. Remember that each name in the system represents a person—not simply a sales opportunity. Email management Manage designated White Oak Painting email inboxes. Respond to customer inquiries promptly and thoughtfully. Keep messages organized and ensure important conversations do not get buried. Route questions to the appropriate team member when necessary. Follow through to make sure the customer receives an answer. Maintain a consistently warm, clear, and professional written voice. Social media Publish three thoughtful, on-brand social media posts each day. Respond promptly to Facebook comments and messages. Help turn online engagement into genuine relationships, qualified opportunities, and scheduled estimates. Coordinate project photos, homeowner stories, team moments, helpful advice, community involvement, and other content worth sharing. Maintain a brand voice that feels warm, optimistic, creative, caring, and human. Pay attention to the content that creates meaningful engagement and use those insights to improve future posts. We do not want generic filler posted simply to meet a quota. We want consistent content that gives people a reason to know, trust, and remember White Oak Painting. Email newsletters Create and send a White Oak Painting email newsletter every other week. Share useful homeowner advice, project stories, seasonal reminders, company news, and community involvement. Maintain clean, accurate, and organized email lists. Make every newsletter feel helpful and personal—not like another piece of advertising. Monitor replies, opens, clicks, and inquiries so we can continue improving. Strategic partnerships Identify and build relationships with local businesses, organizations, and referral partners. Introduce White Oak Painting in a professional and personable way. Maintain consistent outreach and follow-up. Look for opportunities to support our partners instead of contacting them only when we need something. Keep partnership conversations and next steps organized. Help White Oak Painting become a trusted and familiar presence throughout the community. Community events Represent White Oak Painting at farmers markets, sponsorship booths, trade shows, career fairs, and other local events. Be present and engaged throughout every assigned event. Help prepare booth materials, talking points, lead-capture systems, and follow-up plans. Welcome people into conversation without making them feel cornered or sold to. Answer questions and communicate who we are with energy and sincerity. Capture accurate contact information from interested homeowners, candidates, and partners. Follow up promptly after each event. Serve as a recognizable, trusted, and joyful representative of White Oak Painting. Some events will take place during evenings or weekends. Flexibility and reliable attendance are essential parts of this position. Using AI Thoughtfully We believe AI can help great people become even more effective—but it cannot replace judgment, creativity, emotional intelligence, or genuine human care. You do not need to be an AI expert when you begin. You do need to be curious and excited to learn. In this role, you will use AI to help: Generate and develop social media ideas. Draft and improve posts, emails, and newsletters. Turn rough ideas into clear, polished communication. Organize content calendars and follow-up plans. Analyze patterns in engagement and lead activity. Improve scripts and customer communication. Work more efficiently without making the experience feel automated. We're looking for someone who is willing to experiment, ask questions, learn new tools, and discover better ways of working. You should be excited—not threatened—by the opportunity to use AI. At the same time, you must know when technology is helpful and when a person simply needs another person to listen. What Success Looks Like You'll have a clear scorecard.

Can use—or quickly learn—a CRM, social media platforms, email marketing software, content-creation tools, and AI tools. Have reliable transportation to required local events. Can occasionally adjust your schedule for evening or weekend events. Experience in appointment setting, customer service, phone sales, hospitality, lead management, social media, or community outreach is helpful. However, we care more about how you communicate, how you treat people, how well you follow through, and how seriously you take ownership.
