Job Description

About Us Strong Retirement Income Solutions is a small, family-owned financial advisory firm in Brownsburg. We help retirees and people nearing retirement plan for income, taxes, insurance, and protecting what they've built. Our clients value personal, one-on-one attention, and they get to know our team by name. We're looking for someone who enjoys being that friendly, dependable face and voice of the office. About the Role The Client Service Administrator keeps our clients well cared for and our office running smoothly. You'll greet clients, answer calls and emails, schedule appointments, handle account paperwork, and keep client records accurate so our advisors can focus on planning. This is a client service and office operations role, not an advisor, sales, or marketing role. You do not need a financial license or a finance degree. We'll teach you the financial side. What we can't teach is warmth, reliability, and attention to detail. What You'll Do Client Service (about 40% of your time) Greet clients in the office and answer phone calls and emails promptly and professionally. Schedule client meetings and send reminders and follow-ups. Answer routine client questions and route anything else to the right advisor. Help welcome new clients and walk them through our onboarding steps. Client Records (about 35%) Prepare and process forms for new accounts, transfers, rollovers, and beneficiary updates, following our checklists. Collect client documents and check that everything is complete and signed before it's submitted. Follow up with account custodians, insurance carriers, and clients to keep paperwork moving. Keep client information up to date in our CRM, and handle all client information confidentially and in line with our compliance procedures. Advisor Support (about 15%) Print and assemble materials for client review meetings. Keep a simple tracker of pending paperwork and open client requests. Social Media & Office Tools (about 10%) Post to the firm's social media accounts using a monthly content calendar (content ideas and approvals come from the advisors). Help keep our website, Google Business profile, and online listings current, and pass website inquiries to the advisors. Help set up and use simple office tools, including scheduling and AI-based tools, that make our work easier. What You Need At least 1 year of experience in a customer-facing role in a professional office , such as a bank branch, credit union, insurance agency, CPA or law office, medical office, or title company. A friendly, professional phone and in-person manner. Strong accuracy with forms, data entry, and details. In our business, a missing signature or a wrong digit matters. Comfort with Microsoft Office and Outlook, and willingness to learn new software (we'll train you on our CRM). Reliable, on-time, in-office attendance Monday through Friday. Discretion with confidential personal and financial information. Ability to pass a background check. Nice to Have (Not Required) Experience in banking, insurance, or a financial services office. Familiarity with annuities, retirement account paperwork such as 401(k)s, IRAs, rollovers, or beneficiary forms. Experience with a CRM (such as Redtail, Wealthbox, or Salesforce). Experience posting to social media for a business. An Associate's or Bachelor's degree. A degree is not required. This Role May Not Be the Right Fit If… You're looking for a financial advisor, planner, or sales role right now. You're looking for a role that is mainly marketing or social media. You need a remote or hybrid schedule. Room to Grow Once you're settled in, there is an opportunity to grow with the firm. If you're interested, we'll support you in earning your Indiana Life & Health insurance license (exam fees paid by the firm) and, down the road, securities licenses. What Success Looks Like in Your First 90 Days Clients are greeted warmly, and calls and emails are returned within one business day. Paperwork goes out complete and correct the first time. Client records in the CRM are accurate and up to date. Benefits & Time-Off Personal time: 6 personal days per year (earned at one-half day per month).
Vacation:
5 paid vacation days after 6 months of employment, plus 5 more after 12 months.
Paid holidays:
New Year's Day, Good Friday (half day), Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and Christmas Day. When a holiday falls on a weekend, the office closes the nearest Friday or Monday. 401(k): Eligible after 6 months with employer match Health insurance: This position does not include employer-sponsored health insurance.
