Grey Street Advisors is a boutique CPA firm in Evansville serving individuals and small businesses with tax, accounting, payroll and advisory services. We are a small, professional firm that places a high value on accuracy, organization, responsiveness, confidentiality and exceptional client service. Because we are a small team, every person plays an important role. We are looking for someone who enjoys being the person who keeps things organized, follows through, notices when something is missing and helps make sure both our clients and our team are taken care of.

Position Summary We are seeking a highly organized, dependable and technology-comfortable Operations & Client Services Administrator to join our team. This is much more than a traditional front-desk or receptionist position. This person will help manage the day-to-day administrative operations of the firm, coordinate client communications, maintain workflow systems, assist with the administrative side of tax return processing and help make sure important tasks move from start to completion. The ideal candidate is someone who naturally pays attention to details, enjoys organizing information and processes, communicates professionally and takes ownership of their responsibilities without needing constant reminders. Schedule This position is structured around the seasonal nature of a CPA firm. February through
April:
Approximately 40 hours per week Monday through Friday Consistent availability during tax season is required May through
January:
Approximately 20-30 hours per week Primarily Monday through Thursday Some flexibility may be available This schedule may be especially attractive to someone who wants a professional position with more flexibility outside of tax season while still working full-time during our busiest months. Key ResponsibilitiesClient Service & Communication Serve as a professional and welcoming first point of contact for clients Answer, screen and route incoming telephone calls Respond to routine client questions and direct more technical questions to the appropriate team member Schedule client appointments and coordinate meeting logistics Communicate with clients by telephone, email and through our secure client portal Assist clients with accessing and using electronic document and signature systems Follow up with clients regarding missing documents, signatures, authorizations and other information Coordinate tax return pickup and electronic delivery Assist with client video tax-return review and delivery processes Maintain confidentiality of sensitive personal and financial information Tax Return Administrative Workflow This position plays an important role in helping tax returns move efficiently through our office from the time documents are received until the return is delivered and completed.
Responsibilities may include:
Receiving and organizing incoming tax documents Tracking client information and missing documents Confirming required engagement letters, authorizations and other forms have been completed Monitoring tax-return workflow and status Maintaining accurate information in workflow software Coordinating scanning and electronic document organization Assisting with SurePrep document processing Following up on outstanding client items Monitoring returns as they move through preparation, review, signatures, payment, e-filing and completion Coordinating completed-return delivery, pickup and mailing Maintaining organized electronic and physical client files Helping ensure completed client matters are properly closed and archived This position does not prepare tax returns. Office Operations Help maintain an organized, efficient and professional office Manage incoming and outgoing mail and deliveries Maintain office supplies and monitor inventory Coordinate ordering of office and kitchen supplies Maintain conference rooms, reception areas and common areas Provide light kitchen and refreshment-area support Prepare the office for client meetings and tax-season activity Assist with office vendors and service providers Help coordinate document shredding, storage and other office services Assist firm leadership with administrative and operational projects Maintain internal checklists and recurring administrative procedures Help identify processes that could be improved or made more efficient Billing & Administrative Financial Support The role may also assist with certain administrative financial functions, including: Client accounts-receivable follow-up Monitoring outstanding client invoices Assisting with payment collection Maintaining payment and billing-related administrative records Processing routine firm invoices for approval Other administrative billing support as assigned Technology Grey Street Advisors operates in a highly digital environment. Our systems include programs such as: TaxDome UltraTax SurePrep Microsoft Office Adobe Acrobat Electronic signature platforms Cloud-based document-management systems Other accounting and professional-services applications You do not need prior experience with all of these programs. You do need to be comfortable with technology, willing to learn and able to move between several different programs throughout the day. The primary focus of this position is: Operations + Organization + Client Service + Administrative Workflow Qualifications We are primarily looking for the right combination of organization, judgment, communication skills and attention to detail.

A candidate with strong administrative experience, excellent organizational skills and demonstrated attention to detail may be an excellent fit even without prior CPA-firm experience. Compensation This is an hourly position with a range of $22-$27 per hour. Compensation will be based on experience, qualifications and demonstrated ability.
