ServiceHawk Digital Marketing

Onboarding Manager

Job Description

ServiceHawk is a full-service digital marketing agency built exclusively for HVAC and electrical contractors.
Our purpose is simple:
to help 7-figure HVAC and electrical contractors become trusted local legends. We build bold, trackable marketing systems — websites, search, paid media, automation, and AI — that attract better leads, close more jobs, and grow customer lifetime value for independently owned contractors competing against private-equity-backed giants. They've got private equity. Our clients have us. We run on EOS (the Entrepreneurial Operating System), which means clear seats, real scorecards, and no ambiguity about who owns what. We are growing from a Gulf Coast agency into the go-to home services marketing company across the Southeast, and every person we hire gets a defined seat, a number they own, and a visible path up as we grow. Our Core Values (we hire and fire by these) First Class Service — We make clients feel prioritized at all times. Integrity — We always do what's right, even when no one is watching. Respect — We respect the trades, the work, and the people behind the businesses we serve. Solutions Over Excuses — We take ownership and deliver solutions fast. Tenacity — We unite to overcome challenges that hold others back.
Mission:
Own every client's first 60 days — the make-or-break window. From the moment the ink dries, you are the client's single voice: you gather everything (access, brand, goals, history), you drive the Day-30 and Day-60 playbooks through Product Operations, and you hand the CSM (Client Success Manager) a client who is live, tracking, seeing results, and glad they signed. First impressions are your product. This seat OWNS The client relationship and all communication from signature through Day 60 — the one voice Complete intake: accounts and access (Google, GBP (Google Business Profile), ad accounts, domain/DNS, CRM, social), brand assets, service areas, goals, promises made in the sale The Day-30 playbook execution: onboarding call, tracking setup, access/integrations, reputation boost, quick-lead pages, campaign kickoff, SEO (Search Engine Optimization) plan, design start — every box, every client, on time The Day-60 milestone: website live, LSA (Local Service Ads) live, campaigns optimizing, GHL (GoHigh Level) foundation running The internal launch plan per client: sequenced ServiceHawk OS tasks to Product Operations with dates, tracked daily The Day-60 handoff package to the
CSM:
account brief, open items, first performance snapshot, joint intro call Client expectations during the messy middle: proactive weekly updates so the client never has to ask "what's happening?" This seat does NOT own Doing the production work → Product Operations executes; you sequence, chase, and communicate The sale and its promises → SVP of BD (but you enforce the 48-hour handoff doc and flag overpromises immediately) The client after Day 60 → Client Success Manager (handoff is formal, documented, and accepted) Performance strategy → Digital Performance Manager sets targets; you set expectations against them Responsibilities Run the kickoff call within 3 business days of signature: goals, expectations, timeline, communication plan Complete the access-and-assets checklist within 10 business days — chase relentlessly and kindly; incomplete access is the #1 launch killer Build each client's launch plan in ServiceHawk OS against the playbook; review progress daily; unblock or escalate to the Director of Product Ops same-day Send the weekly client progress update (call or Loom) every week of onboarding, no exceptions Verify launch quality with the Director of Product Ops before any client-facing milestone is announced Run the Day-60 handoff: package complete, CSM shadowed since day 45, joint intro call done, acceptance confirmed Collect an onboarding NPS at Day 60; feed misses into the playbook KPIs on the scorecard
Time-to-launch:
Day-30 and Day-60 playbook milestones hit on 100% of new clients Access checklist complete within 10 business days: ≥ 90% Weekly update streak: 100% (every client, every week of onboarding) Onboarding NPS ≥ 70; 90-day early churn: zero Handoff acceptance without bounce-back from
CS:
100% First 90 days — success looks like Every in-flight onboarding client on a dated launch plan with a weekly update streak intact First cohort handed to CS (Client Success) on time, complete, with NPS collected The intake checklist and handoff template refined from real launches and documented Qualifications Experience in client onboarding, implementation, or project management — agency or SaaS implementation background ideal Relentless organizer: checklists, timelines, and follow-up are your love language Warm, confident communicator who can hold expectations with a business owner during the messy middle Marketing-literate across web, ads, and CRM enough to sequence dependencies correctly (ClickUp experience a plus)
