Off Frost & Flame is a well-established fireplace and stove retailer serving Southern Maine. We're looking for an experienced, dependable Customer Service & Sales Coordinator to join our team in our Gorham showroom. This is a key position within our small business and combines customer service, retail sales, scheduling, and office administration. We're looking for someone who is organized, comfortable dealing with customers, and able to step into a busy environment and become productive quickly. What You'll Do Answer incoming calls and provide friendly, professional customer service Greet and assist customers in our retail showroom Help customers with fireplace, stove, and related product sales Schedule service appointments, site visits, and installations Communicate with customers regarding scheduling and project status Prepare and send quotes and estimates Enter customer, job, and lead information into our CRM Take detailed notes and accurately document customer conversations Follow up with prospective and existing customers Perform general clerical and administrative work Coordinate with salespeople, technicians, installers, and management to keep jobs moving What We're Looking For Previous experience in customer service, office administration, scheduling, inside sales, or a similar position is required. We're particularly interested in someone who: Has strong phone and in-person customer service skills Is comfortable discussing products, pricing, and sales with customers Is highly organized and able to manage multiple priorities Pays close attention to details and documentation Is comfortable with computers and can learn new software quickly Communicates clearly and professionally Is dependable and takes ownership of their responsibilities Can work independently without needing constant direction Remains organized and professional during busy periods Experience with CRM, scheduling, or estimating software is a plus. Experience in fireplaces, construction, home improvement, HVAC, plumbing, or another skilled-trade industry is helpful but not required . About Frost & Flame Frost & Flame has been serving Southern Maine since 1976. We sell, install, and service gas fireplaces and inserts, wood and pellet stoves, electric fireplaces, and related hearth products from leading manufacturers. We're a small business, which means this isn't a narrowly defined corporate position. You'll interact directly with customers, technicians, installers, sales staff, and ownership and play an important role in keeping our day-to-day operation organized and our customers taken care of.
