We are currently seeking a Scheduling Coordinator to join our team. As a Scheduling Coordinator, you will play a key role in enhancing the lives of seniors in our community by communicating and scheduling the care they need.
Position Details Pay:
$23.00 per hour Job type: Full-time, non-exempt hourly position Reports to: Scheduling Supervisor(s), Directors and Owner Required hours are 8:00a to 4:30p, Monday through Friday (with a 30-minute lunch break). Primary Responsibilities Assist with day-to-day scheduling needs, including calling clients and caregivers, creating shifts, and completing accurate supervisory documentation when necessary. Assist with scheduling for new and existing clients and provide assistance during new-client service starts. Communicate with clients, caregivers, and case managers about schedules, service needs, short-term changes, and other relevant changes. Ensure shift details are accurate, including authorizations, clock-ins and clock-outs, signatures, pay rates, billing rates, and service documentation (Care Logs). Follow up with caregivers and clients to support satisfaction with services. Assist in maintaining complete files for current and former employees for seven years and support audit readiness, including Franklin County Senior Options requirements. Follow and uphold the company's policies (Employee Handbook) and help educate caregivers on company policies and best practices. Provide direction and supervision to caregivers as they perform assigned tasks, especially during assignments involving new clients or new caregivers. Support employee training and evaluation by providing documented input on attendance, performance, and related concerns. Communicate pertinent staffing and scheduling information by telephone, email, text, or other approved methods. Help prepare payroll and billing data as needed (Care Logs). Train, guide, and manage Caregivers as assigned. Maintain superior customer service through professional communication and courteous interaction with others. Other duties as assigned. Required Qualifications Self-directed professional with strong organizational, office, customer service, and telephone skills. Healthcare, senior-services, or service-industry experience preferred. Experience with WellSky (scheduling software) or a similar system preferred. English speaking, reading, and writing skills sufficient to communicate to others. Strong attention to detail, accurate recordkeeping, and good recall. Warm, congenial, and professional manner when working with others. Ability to maintain the confidentiality of employee and client information (HIPAA). Flexibility to handle frequent interruptions and make schedule changes on short notice. Ability to manage multiple priorities, meet deadlines, work with minimal supervision, and show initiative. Ability to use professional discretion and provide effective supervision to caregivers regarding company policies and the Employee Handbook.
