Job Description

Mallard Medical Supply LLC is a growing Durable Medical Equipment (DME) company looking for a dependable, organized, and customer-focused Customer Service Representative / Intake Specialist to join our team. This position is responsible for assisting patients, referral sources, caregivers, and healthcare professionals while helping coordinate new patient referrals and DME orders from intake through fulfillment. The ideal candidate is someone who communicates well, pays close attention to detail, stays organized in a fast-paced environment, and genuinely enjoys helping people. DME or medical office experience is strongly preferred. Key Responsibilities Customer Service Answer incoming phone calls and assist patients, caregivers, healthcare facilities, and referral sources in a professional and courteous manner. Respond to customer questions regarding orders, equipment, supplies, deliveries, and account information. Resolve customer concerns and communicate issues to the appropriate department when necessary. Provide timely follow-up to patients and referral sources. Maintain a professional and helpful attitude, even during difficult or high-volume situations. Intake & New Orders Process new patient referrals and DME orders accurately and efficiently. Review referrals and documentation for completeness. Obtain and verify patient demographic, insurance, physician, and order information. Communicate with physician offices, hospitals, nursing facilities, home health agencies, and other referral sources to obtain required documentation. Enter and maintain accurate patient and order information in the company's systems. Follow up on missing documentation, orders, signatures, and other requirements needed to process an order. Coordinate with billing, warehouse, delivery, and other departments to ensure orders move through the process efficiently. Assist with insurance verification and authorization requirements as needed. General Responsibilities Maintain accurate and organized records. Follow company policies, procedures, and HIPAA requirements. Communicate effectively with coworkers and other departments. Identify problems or delays and take appropriate action to resolve them. Assist with other administrative and customer service duties as needed. Qualifications Previous customer service, medical office, healthcare, or DME experience preferred. DME experience is highly preferred. Experience with DME intake, insurance verification, prior authorizations, or medical documentation is a plus. Strong verbal and written communication skills. Excellent attention to detail and organizational skills. Ability to multitask and prioritize in a fast-paced environment. Comfortable working with computers and learning new software systems. Ability to communicate professionally with patients, family members, medical professionals, and coworkers. Must be dependable, punctual, and able to work effectively as part of a team. Must be able to handle confidential patient information appropriately. Preferred Experience The ideal candidate will have experience with one or more of the following: Durable Medical Equipment (DME) Medical equipment or medical supplies Patient intake Insurance verification Prior authorizations Medicare and Medicaid Enteral nutrition Respiratory/DME Incontinence supplies Medical billing Brightree or other DME software What We're Looking For We are looking for someone who takes ownership of their work and understands that good customer service in healthcare means following through. The right person will be comfortable picking up the phone, solving problems, asking questions when something doesn't look right, and making sure patients and referral sources receive the help they need. Experience in DME is a major plus, but we are willing to train the right person who has strong customer service skills, attention to detail, and a willingness to learn. Schedule Full-Time | Monday-Friday Regular business hours.
