Committed to providing high- quality products to our customers, we are seeking an experienced customer service specialist to join our team. You will be responsible for managing and fielding customer service requests, ensuring that each inquiry is routed to the appropriate department or team for resolution. Your role will involve effective communication with customers to understand their needs and directing them to the correct resources in a timely and efficient manner. You will play a key role in enhancing the overall customer experience by ensuring that requests are handled promptly and accurately, while maintaining a high level of professionalism. You will also be responsible for managing and processing all returns, ensuring a smooth and efficient experience for customers. Your role will involve coordinating the return process from start to finish, addressing customer inquiries, and maintaining accurate records of returns and exchanges. Lastly, you will be responsible for preparing, submitting, and ensuring the timely approval of NFA Form 3 paperwork required for the transfer of firearms regulated by the National Firearms Act (NFA). The position is full-time, 40 hours per week in office.
Responsibilities:
Accurately route customer service requests to the appropriate department or team, ensuring each request is directed to the right personnel for resolution
Maintain detailed records of all customer interactions, ensuring that requests are logged and tracked accurately in the system
Handle basic customer inquiries when appropriate, offering assistance or solutions where possible
Handle all aspects of the return process, including receiving, inspecting, and processing returned products
Address customer inquiries and concerns related to returns, providing timely and professional support
Ensure that returned products meet the company's return criteria and process them accordingly
Maintain accurate records of return transactions in the system, including product details, customer information, and reason for return
Communicate with customers regarding return approval, status updates, and resolutions in a timely manner
Identify any patterns in return reasons and work with relevant departments to improve product offerings or processes
Collaborate with the inventory team to ensure products are processed and restocked correctly
Prepare and review NFA Form 3 applications, ensuring all required information is correctly completed, including dealer information, firearm details, and transfer specifications
Submit NFA Form 3 paperwork to the ATF for approval, tracking the status of each submission and addressing any follow-up inquiries or issues
Troubleshoot and resolve issues related to NFA Form 3 submissions, including addressing discrepancies or errors in submitted paperwork
Provide guidance and support to other team members or departments regarding NFA Form 3 processes
Collaborate and report to the warehouse and compliance manager to ensure efficient operations and achievement of departmental goals
Skills & Qualifications:
Strong communication and interpersonal skills, with the ability to interact professionally with customers and internal teams
Excellent problem-solving skills to assess customer needs and direct inquiries accurately
Detail-oriented with excellent organization skills
Knowledge of inventory management principles
Excellent communication skills, both written and verbal
Ability to analyze data and make informed decisions
Strong problem-solving abilities
Proficiency with office software, databases, and tracking systems used for document management
Ability to work independently and handle sensitive information with confidentiality
Ability to work under pressure and handle a high volume of customer inquiries in a fast-paced & regulated environment
