Job Summary The Wealth Management Assistant provides comprehensive administrative and operational support to the Wealth Management team. This role is responsible for processing client account documentation, maintaining accurate account records, and supporting the daily operations of the department. The Wealth Management Assistant coordinates with clients, internal staff, and external partners to ensure timely and accurate completion of account-related activities. The position is committed to delivering exceptional client service while maintaining confidentiality, regulatory compliance, and operational excellence. Key Responsibilities Answers phones and greet clients in a professional and courteous manner. Maintains client information in the department's CRM system. Utilizes dual control procedures to enter or approve trades as authorized. Creates and submits client distributions after obtaining appropriate officer approval. Opens new accounts in Trust Accounting platforms. Prepares, scans, reviews, and retains client correspondence and documentation in Director. Opens, sorts, and distributes incoming mail. Maintains knowledge of the bank's products and services. Provides administrative support to Trust and Wealth Management Officers, including coordinating client appointments, preparing correspondence, filing, retrieving information, and other support as needed. Assists the Private Banker Officer with client requests and account research. Completes Customer Identification Program (CIP) requirements and establishes new account files. Assists with the preparation of tax documents, coordinates with accountants, and processes returned tax information. Tracks account returns, tax refunds, and tax payments using Excel spreadsheets. Communicates regularly with Wealth Management staff, other bank employees, clients, attorneys, accountants, court personnel, and multi-trust clients. Maintains the confidentiality of client information. Complies with all regulatory requirements, including the Bank Secrecy Act and other position-specific regulations. Completes required training and continuing education. Maintains regular and punctual attendance. Performs other duties as assigned.
Qualifications Required:
High school diploma or equivalent. Skills Passion for delivering exceptional client service to internal and external clients. Excellent interpersonal, verbal, and written communication skills, with professionalism, tact, courtesy, and attention to detail. Strong administrative, organizational, and multitasking skills with the ability to manage multiple priorities effectively. Ability to work in a fast-paced environment, adapt to changing priorities, and maintain high-performance standards. Ability to work independently with minimal supervision while collaborating effectively within a team environment. Ability to maintain confidentiality and handle sensitive information with professionalism and integrity. Knowledge of basic accounting procedures. Proficiency in Microsoft Word, Excel, Outlook, and other computer applications. Work Environment This position is an ON-SITE position located in our Tecumseh, MI office. Physical Requirements Sit/stand for long periods of time. Ability to see difference between colors, shades, and brightness to identify documents. Comfort with using a phone, fax, or other devices for calls, document sharing, and communication.
