Client Services Leader Westwood Regional Veterinary Hospital - Westwood, NJ Westwood Regional Veterinary Hospital is seeking an experienced, hands-on Front Office Client Services Supervisor to lead and support our Client Service Representative (CSR) team. We are looking for someone who understands the pace and pressure of a busy veterinary hospital and can confidently manage front-office operations while providing excellent service to clients, supporting hospital leadership, and maintaining accurate financial and patient records. This is a working supervisory position . The successful candidate must be willing and able to step in and assist at the front desk when needed—not simply supervise from behind the scenes. Key Responsibilities Supervise, coach, train, and support the front-office/CSR team Help maintain appropriate front-desk coverage and workflow throughout the day Provide hands-on assistance during high-volume and high-pressure periods Manage client check-in and checkout processes Schedule appointments and maintain accurate client and patient information Answer and appropriately route incoming calls, messages, and client requests Handle difficult or escalated client situations professionally Review and resolve client billing questions and account discrepancies Process and oversee refunds, credits, deposits, and payment corrections Ensure financial transactions are accurately entered and properly documented Assist with daily reconciliation and front-office financial controls Ensure CSRs follow hospital policies regarding payments, deposits, estimates, and outstanding balances Work closely with hospital leadership regarding client complaints and service concerns Train and monitor staff on appropriate telephone, email, and client communication standards Help establish consistent front-office procedures and accountability Monitor appointment scheduling and identify opportunities to improve efficiency and client service Maintain confidentiality and professionalism when handling sensitive client, employee, and financial information Systems Experience Candidates should have strong working knowledge of: ezyVet veterinary practice management software Weave client communication/phone systems Veterinary scheduling and client-management workflows Billing, payments, refunds, credits, and account adjustments Email, telephone, and electronic client communication systems Prior hands-on ezyVet experience is strongly preferred. Experience with Weave is highly desirable. Qualifications Prior veterinary hospital or veterinary practice front-office experience strongly preferred Previous supervisory, lead CSR, or front-office management experience Strong knowledge of veterinary client-service operations Experience handling billing, payments, refunds, and client account issues Ability to remain professional and organized in a fast-paced, high-pressure hospital environment Strong problem-solving and conflict-resolution skills Excellent verbal and written communication skills Ability to coach employees and hold staff accountable to established expectations Strong attention to detail and accuracy Dependable, professional, and comfortable taking ownership of problems through resolution Schedule & Availability This position requires scheduling flexibility. The Front Office Client Services Supervisor will primarily work during regular weekday operations but must be available to provide supervisory/front-office coverage one weekend day per week when operationally needed . Candidates should understand that veterinary medicine is a seven-day operation and that leadership availability during high-volume periods is an important part of this position. The Person We're Looking For We are looking for someone who can walk into a busy front office, quickly assess what needs attention, organize the team, resolve client and billing issues, and step in personally when additional support is needed. The ideal candidate is calm under pressure, highly organized, comfortable making decisions, financially detail-oriented, experienced with veterinary clients, and capable of holding a front-office team to a high standard of service and accountability.
Pay:
$25.00 - $30.00 per hour
