Service Advisor role where your hard work is rewarded , your weekends are completely free , and your healthcare is 100% covered Job Summary The Senior Service Advisor is responsible for managing the daily flow and efficiency of the service department while providing an exceptional customer experience. This position serves as the primary coordinator between customers and a team of four technicians, ensuring that appointments, repair orders, technician workloads, parts availability, and customer expectations are managed effectively throughout the day. The ideal candidate is highly organized, understands automotive service operations, and is comfortable making real-time decisions to keep the shop productive. This position requires the ability to balance quick-service work, diagnostics, warranty repairs, and larger multi-day repairs without overloading the schedule or allowing vehicles to sit unnecessarily. Primary Responsibilities Shop Scheduling & Workflow Management Manage the daily service schedule for a shop consisting of four technicians. Build and maintain a realistic appointment schedule based on technician availability, skill level, existing workload, and expected repair time. Monitor shop capacity throughout the day and make scheduling adjustments as conditions change. Balance same-day and quick-service appointments with diagnostics, warranty repairs, maintenance, and extensive repairs. Prevent overbooking while maximizing technician productivity and available shop hours. Identify potential scheduling conflicts or delays early and communicate them to customers and management. Maintain visibility of vehicles that are waiting on diagnosis, customer authorization, parts, or additional work. Dispatching & Technician Management Dispatch repair orders to technicians based on skill level, workload, repair complexity, and promised completion time. Maintain an appropriate workload for all four technicians and redistribute work when necessary. Monitor repair progress throughout the day rather than waiting until promised completion times to identify delays. Coordinate with technicians to obtain accurate diagnosis information, repair recommendations, and estimated completion times. Ensure approved work is dispatched promptly and technicians have productive work available whenever possible. Prioritize vehicles appropriately when emergency repairs, comeback concerns, parts delays, or unexpected diagnostic issues arise. Work closely with technicians to reduce unnecessary downtime and improve overall shop efficiency. Customer & Repair Order Management Greet customers, identify service needs, and create accurate repair orders. Clearly document customer concerns so technicians have the information necessary to properly diagnose vehicles. Provide customers with realistic expectations regarding diagnosis and repair timelines. Present technician recommendations and estimates clearly and professionally. Obtain customer authorization before additional repairs are performed. Maintain proactive communication with customers regarding repair status, delays, additional recommendations, and completion times. Review completed repair orders for accuracy before vehicle delivery. Ensure customers understand repairs performed, warranty coverage, recommended maintenance, and future service needs. Warranty Administration Handle routine and straightforward manufacturer warranty claims and repair orders. Verify applicable warranty coverage and properly document customer concerns, technician findings, and repairs performed. Ensure repair orders contain the documentation necessary to support warranty reimbursement. Work with technicians to obtain appropriate documentation before repair orders are closed. Escalate complicated warranty situations, authorization requirements, or unusual claims to management or the appropriate warranty administrator. Quick Service & Major Repair Coordination The Senior Service Advisor must effectively manage two very different types of work within the same shop. Quick-service work—including oil changes, tire rotations, maintenance, recalls, and minor repairs—should move efficiently through the department without unnecessarily disrupting larger jobs. At the same time, extensive repairs, diagnostics, engine or transmission work, electrical concerns, and multi-day repairs must remain actively managed so they continue progressing and do not become forgotten or stalled repair orders. The Senior Service Advisor is responsible for maintaining the appropriate balance between these workloads and ensuring technician capacity is used effectively. Daily Performance Expectations A successful Senior Service Advisor should know, at virtually any point during the business day: What each technician is currently working on. What each technician will work on next. Which vehicles are waiting for diagnosis. Which repair orders are waiting for customer authorization. Which vehicles are waiting for parts. Which vehicles are expected to be completed that day. Which jobs are at risk of missing their promised completion time. How much additional work the shop can realistically accept. The position is expected to actively manage the shop rather than simply react to customers, technicians, or problems as they arise. Qualifications Previous automotive Service Advisor experience strongly preferred. Senior Service Advisor, Assistant Service Manager, dispatcher, or similar experience preferred. Chrysler, Dodge, Jeep, Ram or other OEM dealership experience is a plus. Strong understanding of automotive maintenance, repair terminology, and dealership service processes. Experience scheduling and dispatching work in a technician-based environment. Basic understanding of manufacturer warranty procedures and documentation. Strong organizational and time-management skills. Ability to prioritize multiple repair orders and customer needs simultaneously. Strong written and verbal communication skills. Comfortable making decisions and adjusting priorities in a fast-moving environment. Experience with dealership management systems and electronic service scheduling systems preferred. Key Performance Areas Performance in this position will be evaluated based on: Technician productivity and shop utilization. Effective management of the appointment schedule. Repair order cycle time and vehicle throughput. Accuracy of repair order documentation. Customer communication and satisfaction. Reduction of technician downtime. Timely completion of promised repairs. Proper handling and documentation of warranty repairs. Ability to balance quick-service work with larger repairs. Organization and control of work-in-process vehicles. Valid driver's license with a clean driving record; driving experience is necessary for test drives when needed.
