About Frontier Administrative Services Frontier Administrative Services LLC (FAS), an affiliate of Long Reimer Winegar LLP, provides administrative support to more than 300 private family trust companies based in Wyoming. FAS is seeking a dependable, detail-oriented professional to join our Jackson office as a Client Support Specialist. This position will work closely with the Director of Client Services, the FAS Bookkeeper, clients, attorneys, accountants, bankers, investment advisors, and other professional service providers. The Client Support Specialist plays an important role in the day-to-day administration of client entities, including maintaining corporate records, coordinating annual filings, processing correspondence, monitoring recurring obligations, and helping preserve each private trust company's Wyoming presence. The ideal candidate is highly organized, professional, comfortable managing competing deadlines, and able to handle sensitive personal and financial information with discretion. Primary Responsibilities Client and Entity Administration Support the ongoing administration of Wyoming private family trust companies and related entities. Maintain accurate electronic records, corporate minute books, organizational documents, agreements, officer and director information, and other client materials. Prepare routine corporate documents, correspondence, signature packets, and electronic signature requests. Track document execution and follow up with the appropriate parties to obtain completed materials. Monitor annual and recurring administrative deadlines, agreements, filings, and client action items. Communicate professionally and promptly with clients and their attorneys, accountants, bankers, investment advisors, and other service providers. Monitor and respond to requests received through the shared Client Support inbox. Assist with entity formations, organizational matters, officer and director updates, tax-identification applications, tax-classification filings, and entity wind-downs under the direction of the Director of Client Services and legal counsel. Wyoming Annual Reports and Compliance Support Prepare and file annual reports with the Wyoming Secretary of State for client entities. Coordinate with clients and professional advisors to gather the information needed for annual-report filings, including the value of assets located and employed in Wyoming when applicable. Save and distribute filed annual reports and related supporting documentation. Help maintain the administrative records and physical presence necessary to support each client entity's Wyoming situs. Mail, Records, and Document Processing Retrieve mail from the FAS post office box and receive courier deliveries. Sort incoming correspondence by client entity and identify the appropriate recipient. Scan, name, save, and securely distribute correspondence to clients and their professional advisors. Identify and prioritize time-sensitive and substantive correspondence, particularly notices from the IRS and other federal and state governmental agencies. Process and forward refund checks, signature-required materials, and other original documents. Prepare certified, tracked, and FedEx shipments and maintain shipment and delivery records. Follow established procedures for document retention, confidentiality, and secure transmission. Bookkeeping and Banking Support The FAS Bookkeeper has primary responsibility for client billing, accounts payable, accounts receivable, banking, and bookkeeping. The Client Support Specialist will be cross-trained to provide assistance and backup coverage during periods of increased workload, employee absences, and other business needs.
Support may include:
Assist with annual client billing, funding requests, accounts payable, accounts receivable, banking, and basic bookkeeping tasks under the direction of the FAS Bookkeeper. Help prepare payment requests and checks from client operating accounts after the required client authorization has been received. Provide clients with copies of issued checks, invoices, filed annual reports, and other supporting documentation. Assist with establishing and maintaining local operating accounts, including gathering and coordinating banking forms, identification, and signer information. Maintain accurate supporting records for banking and payment activity. General Office Support Assist with special projects and other administrative responsibilities as needed. Provide backup coverage for essential office functions. Help identify opportunities to improve administrative processes, organization, and client service. Qualifications At least one year of experience in financial services, banking, bookkeeping, accounting, legal services, trust administration, entity administration, or another professional office environment is preferred. An understanding of bookkeeping fundamentals is preferred. Strong organizational skills and exceptional attention to detail. Ability to manage multiple clients, assignments, and deadlines accurately. Excellent written and verbal communication skills. Sound professional judgment and discretion when handling confidential information. Proficiency with Microsoft Outlook, Word, Excel, and Adobe Acrobat. Ability and willingness to learn document-management, electronic-signature, banking, bookkeeping, and entity-management systems. Ability to work independently while communicating effectively within a small, collaborative team. Reliable transportation for retrieving mail and completing occasional local errands. High school diploma or equivalent required; additional education or relevant professional experience is preferred. Schedule and Work Location This full-time position is based in Jackson, Wyoming, with work scheduled Monday through Friday. Regular in-office attendance is required because this position handles physical mail, checks, original documents, banking materials, and courier deliveries. Limited remote work may be available after training when job responsibilities and office coverage permit. Applicants must be able to reliably commute to Jackson, Wyoming, or relocate before beginning employment. Compensation and Benefits FAS offers competitive compensation based on experience.
