Overview Stonehouse Villa is looking for a Day-of Wedding Coordinator to join our team! We're looking for someone who is organized, confident, calm under pressure, great with people, and genuinely enjoys weddings. Our goal is to make the planning process and wedding day as stress-free as possible for our couples and our coordination team plays a huge part in making that happen. This is a hands-on position for someone who can take ownership of a wedding, keep all the moving pieces organized, communicate clearly with clients and vendors, and jump in when something needs to be handled. The Day-of Coordinator steps into the planning process closer to the wedding, usually around 10 weeks before the event. As the Day-of Coordinator, you will: Be introduced to your couple before their final planning meeting Review their planning forms, timeline, ceremony details, décor details, and vendor information Attend and lead/assist with the final planning meeting Work with the couple to finalize the details and timeline for their wedding Communicate with vendors leading up to the wedding as needed Attend and run the wedding rehearsal Be the couple's primary on-site coordinator for the entire wedding day Work closely with the Stonehouse team to ensure everything is ready and organized Once the wedding weekend arrives, you own the flow of the day. What You'll Be Doing Before the Wedding Review all client planning information and vendor details Prepare for and participate in the final planning meeting, typically 6-8 weeks before the wedding Help finalize the wedding day timeline and logistics Review ceremony and reception details, décor plans, vendor arrival times, and setup needs Communicate with vendors as needed to make sure everyone is on the same page Coordinate and lead wedding rehearsals Make sure the couple and wedding party understand what to expect for the wedding day Wedding Day Be the main Stonehouse point of contact for the couple, wedding party, and vendors Keep the wedding day timeline moving Coordinate vendor arrivals, setup, and breakdown Communicate with catering, bartending, DJs, florists, rental companies, photographers, and other vendors Manage ceremony logistics, processional/recessional, cocktail hour, reception, speeches, dances, and send-off Make sure vendors are where they need to be and know what they need to know Keep an eye on the little details that can easily get missed Handle questions and problems as they come up Enforce Stonehouse policies and procedures when necessary Communicate with the Stonehouse team throughout the event Help create a calm, organized environment for the couple and their families Complete end-of-night venue responsibilities and make sure the property is left in proper condition This position requires Thursday-Sunday availability. Thursday is typically our rehearsal and office day, which may include: Wedding rehearsals Final planning meetings Client meetings Timeline/detail review Event preparation Friday, Saturday & Sunday are primarily wedding/event days. Wedding days can be long and busy, so you need to be comfortable working evenings, weekends, and being on your feet for extended periods. We're Looking For Someone Who... Is extremely organized and detail-oriented Can confidently take charge of a room and give direction when needed Is comfortable communicating with clients, families, and vendors Can manage a LOT of moving pieces at once Stays calm when things don't go according to plan Is a good problem solver and knows when to ask for help Notices what needs to be done without always being asked Is reliable, punctual, and follows through Is comfortable working independently Has a friendly, positive attitude Works well with a small team Is willing to jump in and do whatever needs to be done Understands that the client experience is just as important as getting the logistics right Loves weddings and the organized chaos that comes with them! Wedding or event coordination experience is preferred , but we're willing to train the right person who has the organization, personality, and work ethic we're looking for.
