This position works closely with API Inspectors, Operations, and Quality personnel to ensure inspection findings, recommendations, photographs, measurements, and supporting data are accurately documented and presented in accordance with company procedures, customer requirements, and applicable industry standards. Prepare and format inspection reports based on information provided by API Inspectors and field personnel. Review field notes, inspection data, photographs, drawings, thickness measurements, NDE results, and other supporting documentation for completeness. Enter inspection findings, recommendations, and technical data into company and/or customer reporting systems. Assist with reports associated with
API 510, API 570, API
653, and other applicable inspection programs. Ensure reports accurately reflect information supplied and approved by the qualified inspector. Organize and properly label photographs, inspection locations, equipment identification, drawings, and supporting attachments. Review reports for grammar, formatting, consistency, completeness, and documentation errors prior to final submission. Identify missing or conflicting information and coordinate with the responsible API Inspector for clarification. Maintain accurate electronic inspection records and documentation in accordance with company and customer requirements. Track report status and assist in ensuring reports are completed and submitted within required deadlines. Assist with inspection packages, repair documentation, recommendations, and historical inspection records. Maintain confidentiality of customer, facility, and inspection information. Follow company Quality Assurance/Quality Control procedures and document-control requirements. Communicate professionally with inspectors, supervisors, Operations, Quality personnel, and customers as required. Perform other related duties as assigned. Job Requirements High school diploma or equivalent required. Previous experience with
NDT, API
inspection, mechanical integrity, inspection reporting, document control, or industrial services preferred. Familiarity with
API 510, API
570, and/or API 653 inspection terminology preferred. API certification is preferred but not required unless specifically designated by the company. Strong technical writing, proofreading, grammar, and documentation skills. Ability to accurately interpret and organize technical information provided by qualified inspection personnel. Strong attention to detail and ability to identify discrepancies or incomplete documentation. Proficiency with Microsoft Word, Excel, Adobe Acrobat, and electronic reporting/document-management systems. Ability to work with photographs, drawings, inspection data, thickness readings, and other technical documentation. Ability to manage multiple reports and priorities while meeting customer deadlines. Strong organizational and communication skills. Ability to work independently while maintaining communication with inspectors and management. Must follow all company safety, quality, confidentiality, and customer requirements. Physical Requirements The physical demands of this position are primarily associated with office and computer-based work. The employee must be able to: Sit and work at a computer for extended periods. Frequently use a keyboard, mouse, telephone, and other standard office equipment. Frequently read and review electronic and printed technical documentation. Occasionally stand, walk, bend, stoop, reach, and move throughout an office or industrial facility. Occasionally lift, carry, push, or pull materials weighing up to 25 pounds . Maintain sufficient visual ability to review detailed reports, photographs, drawings, measurements, and computer-generated information. Communicate effectively in person, electronically, and by telephone. When visiting customer or field locations, wear required PPE and safely navigate industrial environments, including uneven surfaces, stairs, and outdoor areas. Work in office and, when required, industrial environments that may include exposure to noise, weather conditions, dust, and operating equipment.

The API Report Writer supports the documentation and reporting process but does not independently make API inspection determinations, approve inspection findings, or perform functions requiring an API certification unless the employee holds the appropriate certification and has been authorized by the company to perform those duties.
