Description The Department Assistant supports the Chair and the Department of Nutrition and Dietetics and the Department of Public Health by performing essential administrative tasks under the supervision of the Chair. This integral role combines operational precision, event coordination, and student and faculty support to ensure the seamless daily operation of our programs and facilities. Job Duties Performs a variety of administrative tasks to support departmental operations effectively. Provides administrative support and services related to faculty teaching, research, and service needs. Manages financial processes, including P-card transactions, submitting Banner requisitions, processing expense reimbursements, and maintaining documentation filing systems. Submits and follows-up equipment maintenance requests with Facilities and external contractors Serve as the departmental administrator for Argos, Banner, and Spaces. Collaborate with the department chair and School of Public Health Operations Manager to track and maintain the department budget. Maintain department filing systems for student, faculty, and course documentation. Arrange payments, travel, accommodations, and parking for visiting guests. Assist with accreditation and assessment reporting, including site visits. Organizes the logistics for faculty and program events, workshops, seminars, and conferences, including activities of the Samford Wellness Kitchen and the Advisory Board of the Department, and summer residency program for international students. Assist new adjuncts with onboarding, including Samford ID, login access, parking decals, and Canvas setup. Manage student employment postings with HR, guide student employees on Time Clock Plus access and usage. Conducts Qualtrics course evaluations and reporting to Chair and Dean, as needed. Coordinate with Technology Services for device tracking, management, and updates. Supports staff in the School of Public Health assisting with events and covering responsibilities such as during staff lunch breaks, vacations, or busy periods. Assists with maintaining the professional appearance and operations of the facility. Actively participates in staff meetings and professional development opportunities. Completes other duties as assigned to contribute to the overall success of the team. Qualifications High school education or equivalent. Requires proficiency working with Microsoft Office programs, including Excel, Word, PowerPoint, and Outlook. Requires a pleasant, personable manner and ability to interact with faculty, staff, students. Requires the ability to work continuously throughout the day, remaining in a stationary position for up to 6 hours per day. Requires the ability to view computer screen up to 7 hours per day. Occasionally lift up to 20 pounds as needed. Requires the ability to work in a highly collaborative team environment. Requires excellent time management and prioritization skills. Requires exceptional attention to detail. Requires the ability to communicate articulately through both writing and verbal communication. Requires being a self-starter, ability to take direction, and ability to work independently. Requires the ability to report to work by 8:00am daily and work during scheduled University hours. Preferred Qualifications At least one (1) year of related work experience, preferred. Previous experience working with programs such as Spaces, Banner, Argos, Regions Intersect, etc ., preferred.
