Reports to the
School Principal Job Summary:
Actively provides office support for the School Building and performs administrative office support work, general office assistance functions and related work as required. Works cooperatively with district and school building personnel. This role is a critical part of the overall school presentation and culture.
Statement of Duties:
Provide clerical support for activities of the Principal Office
Answers the phone, email, fax and responds to parent, student, staff and school visitor requests, dealing with the public tactfully and maintaining effective public relations with parents, staff, students and school visitors
Manage electronic communication
Handle matters discreetly, exercising good judgment in handling confidential mail, records, scheduling and conversations
Process paperwork
Enter information in the student information system
Answering communications and correspondence quickly and efficiently
Schedule meetings
Submit information to payroll
Operate standard office machines and appliances incidental to administrative office support assignments
Maintain accurate files and records
Process attendance and adjustments for student attendance (internships internal and external)
Run student attendance reports and at the direction of the administration send letters regarding attendance
Enter student disciplinary information into the student information system and send correspondence at the direction of the administration ensuring proper documentation is given within deadlines.
Send course credit correspondence as needed
Provide support for senior night awards and recognition awards
Maintain information for short-term and long-term (semester or longer) objectives for the office
Follow school policies, guidelines, protocols and procedures
Preparing MHS agenda items/packets for School Committee
Provide administrative assistant support for projects including but not limited to:
Graduation, Program of Studies, and Student Handbook
Provide office support as back up coverage for other office support during absences and/or breaks of other office support staff as necessary.
Other duties as assigned.
Qualifications:
High School Graduate
Minimum of two years' administrative assistant office experience
3-5 years' supporting a school administrator a plus
Demonstrated knowledge and experience with diverse office technology and equipment, specifically database, spreadsheet, and word processing.
Knowledge of Aspen, as it relates to student information is a plus
Experience with MUNIS software a plus
Must be able to work well with the public, staff and students with a variety of backgrounds
Ability to maintain confidentiality required
Good customer service skills in dealing with the public and staff effectively
Must be able perform work quickly, efficiently and accurately
Good abilities with office practices, procedures and office equipment
Excellent skills in oral and written communication
Must be a strong team player, able to collaborate well with others
Strong computer competence including standard office software (ex. Word and Excel) and data entry in database
Bilingual (Spanish or Portuguese) highly preferred
