Job Description

Westwood High School seeks one [1.0] full-time Longterm Substitute Administrative Assistant of Student Services to join our community from October 19-February 19. Our ideal candidate is flexible and friendly, thrives in a fast-paced environment, has excellent communication skills, and has a genuine interest in working with students and families on a day-to-day basis. Initiative, organization, interpersonal skills, and technological savvy are essential for this position. Experience with Aspen, TalentEd, eSped, Frontline, Google Suite, Softright and Microsoft Office (Word, Excel, PowerPoint) strongly preferred. This is a 12-month position and includes support of the summer Extended School Year program. This role reports to the 9-12 Student Services Department Head.

The Role

Acts as the information coordinator within the Student Services Department and as the face of the Department for students, families, and community members

Schedules, confirms and prepares paperwork for approximately 250 special education meetings annually Tracks and processes all special education documentation in compliance with Department of Elementary and Secondary Education mandated protocols and timelines

Maintains the Department Head's schedule, including arranging appointments and meetings

Facilitates communication between the Student Services Department Head and students, families, staff, and ancillary and outside providers

Safeguards confidential information and maintains all high school student special education records according to the Massachusetts Record Regulations, including the dissemination and destruction of records

Manages the departmental budget, including payroll, purchase order submission, and supply distribution Prioritizes, multi-tasks, and manages special projects and diverse tasks to support the Student Services Department Head Qualifications Associates Degree required, additional education desirable

Experience in business and a public school setting preferred

Thorough knowledge of and familiarity with modern office equipment, technology, electronic equipment, and software applications and operations required; experience with Aspen, TalentEd, eSped, Frontline, Google Suite, Softright and Microsoft Office (Word, Excel, PowerPoint) preferred Skills

Demonstrates caring and concern for all students and staff

Shows sound judgment and effective communication with students, families, staff, administrators, and the public

Maintains professionalism and confidentiality at all times

Possesses technological proficiency: the necessary skills to produce and maintain digital and written reports, records, and communications

Demonstrates ability and desire to learn (ie: technology courses, policies and procedures, etc.)

Strong organizational and planning skills

Excellent verbal, writing, and listening skills

Ability to work under time restraints and meet deadlines

Ability to collaborate and maintain effective working relationships with colleagues. Demonstrates strong interpersonal skills to ensure effective interdepartmental and school-wide interactions

Job Environment:

Work takes place in classrooms and other building rooms/areas, including offices, auditorium, gym, lunchroom and hallways, within a school building setting, primarily indoors. Job takes place in a high-performing school district with high expectations.

Physical Requirements:

Requires sufficient vision to read printed documents and to view detail on a computer screen for extended periods.

Requires frequent standing, walking, sitting, bending, and reaching, as well as carrying and occasionally lifting up to 30 lbs.

Ability to speak in an understandable voice with sufficient volume to be heard in normal conversation, on the telephone, and in the classroom.

Ability to hear sounds clearly up to twenty feet.

Travel among buildings may be required.
