Job Description

Location:
St. Pius X - St. Matthias Academy Position Overview The Admissions and Outreach Assistant provides crucial administrative, operational, and field support to the Director of Admissions and the Director of Events and Marketing at St. Pius X - St. Matthias Academy (PMA). This role plays a key part in the student recruitment pipeline by helping execute off-campus outreach, including middle school site visits and high school fairs, and maintaining the integrity of the applicant tracking system. Serving as one of the primary contacts for prospective families, the Admissions and Outreach Assistant ensures a smooth, welcoming onboarding experience from initial inquiry through final registration. Primary ResponsibilitiesApplicant Tracking & Data Management Maintain and update the school's admissions management platform (Finalsite) to ensure accurate, real-time applicant data. Process incoming student applications, transcripts, recommendation forms, and supporting documents for 9th-grade and transfer applicants, including international students. Assist in tracking applicants through every stage of the funnel: inquiry, application, interview scheduling, acceptance, and registration. Prepare recruitment data, checklist audits, and summary reports for the Advancement team. Off-Campus Outreach & Site Visits Schedule site visits with local partner middle schools, including but not limited to classroom visits and high school nights. Deliver engaging presentations to prospective 7th and 8th graders about PMA's academic, faith-based, and co-curricular programs. Coordinate logistics for school site visits with the Ambassadors (prepare materials, provide transportation to and from site visits, table setup…) Help cultivate partnerships with middle school principals, vice principals, counselors, faculty, and other staff. On-Campus Events & Campus Visits Assist in planning, setting up, and executing key admissions events, including Open House, Information Sessions, Shadow Days, Placement Exam days, and other school wide events. Greet prospective families, conduct individual or group campus tours when needed. Administrative & Departmental Support Support day-to-day admissions inquiries via phone and email. Assist the Warrior WearHouse Student Store operations as needed. Work collaboratively with the campus partners to ensure brand consistency across all prospective student communications. Perform other administrative duties as assigned by the Advancement team.
Knowledge, Skills, and Abilities Mission Alignment:
Enthusiastic about promoting Catholic education and articulating the vision and culture of St. Pius X - St. Matthias Academy.
Communication & Public Speaking:
Strong oral and written communication skills, with comfort presenting in front of middle school classrooms, parents, and community groups.
Technical Proficiency:
Proficient in Google Workspace (Docs, Sheets, Gmail, Drive). Ability to quickly learn admissions platforms (e.g., Finalsite) and student databases.
Organization & Detail:
Exceptional organizational skills with a strong record of managing data accurately.
Interpersonal Skills:
Professional, warm, and approachable demeanor with an ability to build fast rapport with prospective parents, students, and middle school staff.
Flexibility & Travel:
Valid driver's license and reliable transportation required for local school visits. Must be 25 years of age or older in accordance with school insurance policy to transport minors. Willingness to work occasional evenings and weekends for site visits and admissions events.
Qualifications Education:
Bachelor's Degree in Communications, Marketing, Education, Business, or related field preferred.
Experience:
Minimum 1 year of experience in an administrative, admissions, customer service, and/or educational setting. Language (Preferred): Bilingual fluency in English and Spanish (strongly preferred to serve our local community effectively). Faith (Preferred): Practicing Roman Catholic Wage Range & Compensation The rate of pay offered to the selected candidate is based on internal pay policy and departmental budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions, including, but not limited to, skill sets, educational background, experience, training, and department needs.
Pay Range:
