DOE Join Our Growing Leadership Team Summit Counseling Solutions is growing, and we are expanding our team! The Admissions & Billing Manager will oversee the admissions process from initial referral through admission and discharge while also managing key billing, reimbursement, and financial processes. This position will play an important role in ensuring that our systems operate efficiently, our families receive responsive and professional support, and our organization is positioned for continued growth. About Summit Counseling Solutions Summit Counseling Solutions provides behavioral health services for adolescents ages 12-18 through Partial Hospitalization Program (PHP) and Intensive Outpatient Program (IOP) services. Our team is committed to providing a supportive, structured, and client-centered environment for adolescents and their families. About the Role The Admissions & Billing Manager will oversee the day-to-day operations of the admissions and billing functions and will serve as a key member of the leadership team. This position will work closely with the CEO and collaborate with clinical, programming, and administrative leaders to ensure effective communication, accurate documentation, strong financial processes, and a seamless experience for clients and families. The ideal candidate will be comfortable balancing people, processes, and details while taking ownership of their areas of responsibility. Key ResponsibilitiesAdmissions & Intake Oversee the admissions process from initial referral and inquiry through admission. Serve as a primary point of contact for prospective clients, families, referral partners, and community providers. Manage referrals, inquiries, intake requirements, and admissions coordination. Ensure required intake documentation, assessments, insurance information, and admission materials are completed accurately and timely. Maintain clear and responsive communication with families and referral sources throughout the admissions process. Verify insurance benefits and communicate coverage and financial responsibility to families. Coordinate with clinical and programming teams regarding client placement and admission readiness. Monitor admissions activity, census, and referral trends. Develop and maintain positive relationships with referral partners and community providers. Conduct and coordinate program tours as appropriate. Identify opportunities to improve the admissions experience and streamline processes. Client Transitions & Discharge Oversee the administrative aspects of client transitions into and out of the program. Coordinate communication related to changes in level of care and discharge. Ensure required discharge documentation and records are completed accurately. Collaborate with clinical and programming teams to support smooth client transitions. Identify opportunities to improve transition and discharge workflows. Billing & Revenue Cycle Oversee billing processes to ensure accuracy, timeliness, and appropriate reimbursement. Manage patient accounts, claims, outstanding balances, and billing-related follow-up. Monitor claims and coordinate follow-up on denied, delayed, or rejected claims. Coordinate with third-party billing partners and other external vendors as needed. Review billing discrepancies and ensure appropriate resolution. Monitor outstanding accounts and assist with collections processes. Review insurance and reimbursement issues and coordinate resolution with appropriate parties. Maintain accurate billing documentation and financial records. Identify recurring billing issues and implement process improvements. Financial Reporting & Administrative Operations Prepare, review, and maintain billing and financial reports. Monitor financial data and identify discrepancies, trends, and areas requiring attention. Provide leadership with relevant admissions, billing, and financial information. Maintain organized systems and documentation related to admissions and billing. Support audits, licensing requirements, and other compliance-related processes. Ensure confidential client and financial information is handled appropriately and in accordance with HIPAA and organizational policies. Develop and improve administrative workflows, systems, and procedures. Participate in leadership and team meetings. Collaborate across departments to improve communication and operational efficiency. Take on additional responsibilities and projects that support the continued growth of Summit Counseling Solutions. Leadership & Collaboration As a member of the leadership team, the Admissions & Billing Manager will be expected to: Take ownership of admissions and billing operations. Identify challenges and proactively develop solutions. Communicate effectively with leadership and cross-functional teams. Help establish and maintain efficient organizational processes. Use data and trends to identify opportunities for improvement. Contribute to a positive, accountable, and collaborative workplace culture. Support organizational initiatives and the continued growth of Summit Counseling Solutions. What We're Looking For The ideal candidate is: Highly organized and detail-oriented. A strong communicator who can interact professionally and compassionately with families, referral partners, and employees. Comfortable managing confidential client and financial information. Strong with numbers, financial information, spreadsheets, and administrative systems. A proactive problem-solver who follows issues through to resolution. Able to manage multiple priorities in a fast-paced environment. Comfortable working independently and making decisions within their area of responsibility. Collaborative and able to work effectively with clinical, programming, and administrative teams. Interested in improving systems and processes rather than simply maintaining them. Professional, dependable, and service-oriented. Comfortable taking ownership of a leadership-level role within a growing organization. Preferred Qualifications Bachelor's degree in healthcare administration, social work, or a related field preferred. 2+ years of experience in healthcare administration, behavioral health, admissions, medical billing, revenue cycle, or a related field. Experience with healthcare or behavioral health admissions and intake processes. Experience with medical or behavioral health billing, insurance claims, reimbursement, patient accounts, or collections. Experience reviewing EOBs, claim denials, insurance benefits, or reimbursement issues. Experience working with electronic health records (EHR) and/or billing systems. Experience preparing or reviewing financial and operational reports. Experience developing, improving, or managing administrative processes. Previous leadership, supervisory, or management experience is preferred. Experience in both admissions and billing is strongly preferred, but we are open to candidates whose experience is stronger in one area and who demonstrate the ability and willingness to learn the other. Minimum Qualifications Demonstrated experience in healthcare administration, admissions, billing, customer service, office management, or a related field. Strong organizational, communication, and problem-solving skills. Ability to maintain confidentiality and comply with HIPAA requirements. Ability to successfully complete required background screening. Must be age 21 or older. Schedule & Compensation Full-time Approximately 40 hours per week Schedule based on organizational and program needs.
