Festival Coordinator
Job Description
Job Overview Reporting directly to the Executive Director, the Festival Coordinator is a vital part of the Sweet Pea Festival team. The Festival Coordinator will help oversee office operations including office correspondence, Board/Committee meeting preparations, file management, merchandising inventory, and support for the organization's nonprofit mission, including grant seeking and writing, fundraising, and public perception, and any other duties as assigned. The Festival Coordinator will help position Sweet Pea as a 501(c)(3) nonprofit in the community. This position is constantly evolving based on Festival needs. Hours & Work Location August 15 to June 15 flexible up to 15 hours a week dependent upon workload. Preferred schedule of Monday-Wednesday 10AM-2PM. June 20 to August 20 40+ hours per week or as required to perform the job duties necessary for a successful Festival. This role is primarily office-based and requires regular in-person attendance. Limited remote work may be available based on operational needs and supervisor approval. This position may require occasional travel. Responsibilities 1. Correspondence with the public and the Board/Committee Members Monitor admin email, phone calls, and office voicemail Greet office visitors when applicable Volunteer Coordination including set up of online registration system currently (VolunteerLocal) and posting/distributing public links to ensure ease of use for public. 2. File organization and management 3. Merchandise Oversee and operate retail system (Square) Train Board/Committee Members and volunteers on retail system Fulfill online retail orders and ensure prompt mailing or pick-up Handle in-office retail sales, including wristband and merchandise sales Oversee and update inventory as necessary 4. Board/Committee Meeting Preparations Print off any documents needed for the meeting Ensure all name plates, roster and sign-in sheet are prepared at all meetings Attend meetings when necessary 5. Festival Preparations & Festival Weekend Support Assist with Festival preparations, including setup and management of the Headquarters Tent Serve as the Festival "runner" throughout Festival weekend, remaining available for any task as needed Work most often with the Physical Arrangements division, supporting setup, teardown, and on-site needs as they arise 6. Print and deliver required materials for additional year-round Sweet Pea events such as Gingerbread contest, Ice Festival and Artist Marketplace, Run to the Pub, multiple Summer Farmers Markets, and Music on Main. 7. Nonprofit positioning and public perception Assist in positioning Sweet Pea as a 501(c)(3) nonprofit in all public-facing communications, materials, and interactions Support efforts to strengthen public perception of Sweet Pea's mission, impact, and community value, including assisting with social media, newsletters, and website updates 8. Grant seeking and writing Research and identify grant opportunities aligned with Sweet Pea's mission Assist with drafting, editing, and submitting grant applications and reports Help track grant deadlines, requirements, and awarded funds 9. Fundraising support Assist with sponsorship outreach, donor correspondence, and year-end giving appeals Help maintain donor and sponsor records and ensure timely acknowledgment and stewardship 10. Any other duties as assigned Experience High school graduate or equivalent is required Must be 18+ years old Proficiency in written and spoke English is required Must possess a valid driver's license Ability to follow instructions, work safely, and independently is required Excellent communication skills, including written and oral Competence with Windows, Microsoft Office, Google Suite, and Adobe Suite Profession demeanor, both in-office and public facing Willingness to learn Flexibility and commitment to schedule, especially during Festival time Must meet physical requirements necessary to perform essential functions of the position

Pay:
$22.00 - $25.00 per hour
